Filter a report on a field that isn't shown in the filter options

Thank you for reaching out to us, @abcddavis.

I'll help you resolve the issue when filtering reports in QuickBooks Online.

To better understand your concern, may I know what report you're trying to run and the specific fields that are not showing from the estimate?

For now, let me guide you on how to run the Estimates by Customer report. Then, let's add the custom fields so you'll see them on the report's filter options.

To add a custom field:

  1. Click on the Gear icon. Then select Custom fields.
  2. Select Add field
  3. Enter the Name. (eg. Permit number) and select form type.
  4. Once done, click Save.

To run and customize the report, you can customize the report by going to the Customize button directly or to the Gear icon on the report itself. Here's how:

  1. From the left, go to the Reports menu.
  2. Search for the Estimates by Customer report, then open it.
  3. Select the Report period and Rows/Column.
  4. Click on Customize. Then go to Filters.
  5. Check the transaction type you want to be included in the report. (eg. Permit no & SKU)
  6. Once done, click Run Report.

  1. On the report, beside the printer icon, click on the Gear icon.
  2. Click on Show more. (If needed)
  3. Check the transaction type you want to be included in the report. (eg. Permit no & SKU)
  4. Once done, click Run Report.

Just let me know if you have confusion or question in mind with the steps I provided. I can always back you up. Just leave a comment below. Have a good one!

Filter a report on a field that isn't shown in the filter options

Hi Mich.  Thanks for responding to my question, but I'm not sure you actually read the entire post.  In the post I already specified the report name (Estimates & Progress Invoicing Summary by Customer), and that I'm trying to filter on a field that already exists in the report (Status).  Unfortunately, when I customize this report and expand the Filter section, the Status field is not included in the list of fields that can be filtered on.

I am quite familiar with the Estimates by Customer report, and it does allow me to filter on Status.  However, that report only gives the total estimate amount, and does not show the progress billing, which is what I need to see.

Filter a report on a field that isn't shown in the filter options

Hi Mich.  I'm not sure this discussion feature is working properly.  I'm trying to see the whole string, but I can only see this reply that you posted to my question.  While trying to find the string, I clicked on an option to Edit my original post, and it looks like only the first few words were posted.  I had typed up a long detailed question.

Anyway, I hope you get this message and especially the last message I posted.  I can't seem to find it.

Filter a report on a field that isn't shown in the filter options

I recognized having the option to filter on a field (Status) on the Estimates & Progress Invoicing Summary by Customer report can aid you in monitoring your business transactions flawlessly, @abcddavis. That's why I'm here to share further details about this.

To start, I'd like to thank you for the additional details you've provided above. Although only the first few words were posted on your original post, you're still able to supply the necessary information we need to address your concern.

We take your suggestions (filter transactions status while customizing the Estimates & Progress Invoicing Summary by Customer) as an opportunity on which area of the product's reporting feature we need to improve on. With this, I encourage you to send feedback or product recommendation.

Your valuable feedback will be forwarded and reviewed by our Product Development team to help improve your experience while using the program. Here's how:

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.

I've attached screenshots below that show the first four steps.

In the meantime, you can visit the Sales menu's All Sales tab. Then, filter it to display your Estimates and their statuses. This way, you're able to check your progress billing details. Please see the screenshot below for your reference.
