Gifts in kind for non profits

Hello there,@Asmith92

Thanks for visiting the Community today. I'm here to help you record an in-kind donation in QuickBooks Online (QBO).

To achieve this, you'll need to set up an income and clearing account for charitable contributions. Then, create a product or service item for the donations.

Here's how:

  1. Go to the Settings menu, then select Chart of accounts.
  2. Select New
  3. If you see the New category window instead of the Account window, you’re creating a subaccount. If you need to create a new parent account, switch to accountant view
  4. In the Account dialog, select Income from the Account Type drop-down menu.
  5. From the Detail Type drop-down menu, select Non-Profit Income.
  6. Give your account a name such as an In-kind donation.
  7. Select Save and Close.

After that, create a clearing account:

  1. Go to Settings, then select Chart of accounts.
  2. Select New.
  3. If you see the New category window instead of the Account window, you’re creating a subaccount. If you need to create a new parent account, switch to accountant view
  4. In the Account dialog, select Bank from the Account Type drop-down menu.
  5. From the Detail Type drop-down menu, select Checking.
  6. Enter a name (for example, In-Kind Clearing) for the account.
  7. Click Save and Close.

Then, create a product or service item:

  1. Go to the Settings menu, then select Products and Services.
  2. Select New and then Service.
  3. In the Product/Service information panel, select the type of product or service, then add a Name and Description suitable for sales, pledge, or donation receipts.
  4. From the Income account drop-down menu, select the In-Kind Contributions income account you created.
  5. Under Purchasing information, select the I purchase this product/service from the vendor checkbox, then select Save and Close.

For further insights about these processes, you can check out this article: Set up and record in-kind donations.

For future reference, read through this resource to learn more about tracking donations in QuickBooks Online.

Feel free to message again if you have additional concerns about anything else. Take care always.
