How do I get my Profit and loss to break out different income catagories?

Great to see you today, @kevin-coffeen,

I'm happy to provide you the steps to customize a Profit & Loss Report in QuickBooks Online.

If you want to see specific accounts or class on the report, you're able to filter them manually using the Customize option in QBO. Here's how:

  1. Go to the Reports menu.
  2. Choose Profit and Loss from the Business overview section.
  3. Click the Customize button.
  4. Update the Report period.
  5. Select the Filter menu to expand the options.
  6. If you want to filter selected accounts, mark the Distribution Account check box and select the preferred accounts from the drop-down.
  7. If you're using the class tracking feature, click the Class check box then manually select the classes you want to view on the report from the drop-down.
  8. Click Run report.

How do I get my Profit and loss to break out different income catagories?

What I need for my P&L is different categories like this:

Revenue(Income)

Direct Cost(Expense)

Equipment Overhead(Expense)

Indirect Cost(Expense)

Administrative Cost(Expense)

Net Income

When I do your suggestion on customization all the expenses are lumped together. Thats not how I need it to be.

Please advise any help appreciated

I'm here to help you with the categories for your P&L, @candre-585.

1. Go to Accounting from the panel on the left.

2. Click the New button from the top right.

3. Choose the Category Type

4. Select the Detail Type

5. Type out what you'd like the account to be named.

6. You can enter a description if you'd like to, but it isn't required.

7. Pick Save and Close

Now, for the categories to show up on the P&L correctly, you'll need to make sure you tag the correct account when creating transactions.

Please feel free to post again or reply to this thread if you have any other questions. Thanks for reaching out to the Community! Have a great day.

Thanks for your response, @candre-585.

Customizing the section in the Profit & Loss report is unavailable. However, I’ll submit feedback to our product engineers about this customization you’ll want to have in this report.

Please know that it will vary to the number of feedback before they proceed to implement the changes.

Hi candre-585,

You'll want to customize your Profit and Loss (P&L) report, then filter it by Distribution Account

Here's how:

  1. Open the Profit & Loss report.
  2. Click Customize on the upper right corner.
  3. Click Filter, then mark and click the Distribution Account field to choose an income or expense account.
  4. Click Run report.

Here's an article for more information: Customize Reports in QuickBooks Online (QBO).

For future reference, you can reconcile your accounts in QBO: How to Reconcile an Account in QuickBooks Online.

Leave a comment below if you need anything else. I'd be glad to help.

When I click on customise there is no "filter" option?? There is only General which includes report period and then Columns.

Hello there, Karenn18.

Once the General and Rows/Columns options are expended we'll have to scroll down to view the other options. In addition, a browser-related issue might have caused the unexpected behavior in our Customize page.

Customize PL.PNG

We can  perform a few browser troubleshooting steps and I suggest that every after steps we'll run the report and click the Customize button to see if the Filter option now shows up.

  1. Log in to QuickBooks using a private browser since it doesn't store any cache files and history for access sites.
  2. If this woks, we can switch back to the main browser and clear the cache
  3. We can also use other browsers to verify such as Google Chrome, Internet Explorer, or Mozilla Firefox.

Let me know if how this works. I'll keep an eye on your reply. You take care always!

Thanks for your prompt reply. I have tried a private browser (incognito mode) in Google Chrome and that didn't work. I then tried using Internet Explorer instead and that didn't work either.

Thanks for performing the troubleshooting steps and keeping me updated, Karenn18.

It looks like the issue persists after doing so. I suggest getting in touch with our customer Support Team so they can further look into your account and look into the cause of the Filter option not showing up.

Here's how to contact us:

  1. Go to the Help menu within QuickBooks.
  2. Click Contact Us
  3. Enter your question something like unable to see the Filter option when customizing the report.
  4. Click Let's talk
  5. Select either to Get the number to call us, Chat, or Get a callback

Please don't hesitate to post your questions here if you need anything else. Keep safe!
