How to match invoices to bank register.

I have a sales and services tab on my profit and loss. I only need sales. I can’t figure out how to get the numbers off services, but I’m wondering if it’s because invoices were closed and marked paid but not put towards bank deposits. Bank deposits are already matched and in the register. Is this why it’s basically doubled my income for the year? I need to fix it and can’t figure anything out.

How to match invoices to bank register.

I'd be glad to share some insights about matching transactions in QuickBooks Online. 

 

We can look up the amount from the services to see where it came from, and validate them whether it's from an invoice or a deposit.

 

To check: 

 

  1. Navigate to the Reports tab.
  2. You can search for the deposit details and double check with the invoice list, or invoice and received payments.
  3. Customize the report if needed.
  4. Then click the Run report button.

 

If you didn't match the deposit with an invoice, you can undo it or delete the deposited transaction.

 

Furthermore, When matching downloaded transactions in QuickBooks Online (QBO) to manually created data, you'll need to have the exact date or details to match. When you get the invoice payment, it should go into the Undeposited Funds account. 

 

This is how:

 

  1. In the left menu, Sales.
  2. Go to the Invoices tab.
  3. Locate the invoice.
  4. From the Actions column, click the Receive Payments link.
  5. Make sure to choose Undeposited Funds in the Deposit To drop-down.
  6. Enter the full payment of the invoice.
  7. Click Save and Close.

 

Then, make a bank deposit and choose the bank account where the payment was made.

 

  1. In the left menu, click the New (+) button.
  2. Choose Bank Deposit.
  3. Select the Bank Account where the actual payment was deposited.
  4. Enter the date when the actual deposit was made.
  5. In the Select the payments included in this deposit section, mark invoice payment that's paid.
  6. Review the payment details. The information should exactly match the downloaded bank transactions.
  7. Click the Save and Close button.

 

After that, you can begin matching the invoice payments and transactions that were downloaded. You'll avoid obtaining duplicates if you do it this way. Let me share this step-by-step guide with you: Categorize and match online bank transactions in QuickBooks Online.
