problem importing non inventory item in bulk- items over 999 will not import, other fields need to be inserted individually

Hi there,

I have quicklook for mac 2019

I am trying to import non inventory items with the pricing of course into my items.  Actually most of them are in fact inventory items, but when I first started using it did not let me choose this option on the actual item, so that's how it stayed.
Four problems I keep running into:
1) all of the items need to be under income sales, It seems that I can only select that after the items are in the import fields. I can not do it for all of them at once, need to go item by item,

2)  The items are all charged sales tax, and there again I need to do it for each individual item.

3)  any item with anything over 999 meaning any four digit pricing will not import unless I remove a digit, or move the decimal point to create a 3 digit before the decimal point, which means I have to import them and than go into the items and change the pricing.
4) any idea on how I can import them into a specific category, or sub category?
Thanks a million!

Nava

Hello, Nava.

I'm jumping here to give you some details on each of the issues you've encountered while importing your non-inventory items.

When importing inventory, service or non-inventory items, assigning an income account is done manually one at a time.

We can also say the same for the sales taxes. On the imported items list, you'll want to set the Taxable column to Yes on each of your items.

As for the pricing issue, you'll want to check your spreadsheet formatting. There might be a column or data that's disrupting the pricing format. Ensure that there aren't any errors when copy-pasting your items to QuickBooks.

At this time, we're unable to import items into a specific category. You'll want to manually assign them using the subitem method. Here's how:

  1. After importing your items, create a parent item if you haven't done it yet. Go to Lists, then select Items
  2. Click the + button.
  3. Set the Type to Non-inventory item (or Inventory item if you also want to categorize your inventory items).
  4. Select an income account (even if you don't use the parent item on your sales, QuickBooks will always require you to set an account).
  5. Leave the parent item's price as blank, then click Save
  6. Open an imported item to edit it, then check the Subitem of box.
  7. Select the parent item, then click OK

Our engineers might add more options when importing your items to QuickBooks. They might also include an option to let you specify an income account more easily.

problem importing non inventory item in bulk- items over 999 will not import, other fields need to be inserted individually

Ok so If I am importing over 2000 items I will need to choose sales and Yes on sales tax to each one.

I did copy and paste of the spread sheet, since I am importing one sub category at a time, it's only 8 items at a time for this part of the pricing, so I am not really importing the entire list, just a small part at a time.

Why can't I import any item over $999?  I am not  writing the $ sign of course. and if I put a decimal for example something priced 1254 it will only import if I put a decimal and now it's 125.4 see screenshots
My apologies for not writing in the right foruScreen Shot 2021-08-30 at 10.25.56 AM.pngScreen Shot 2021-08-30 at 10.26.15 AM.pngScreen Shot 2021-08-30 at 10.26.49 AM.pngScreen Shot 2021-08-30 at 10.39.09 AM.pngScreen Shot 2021-08-30 at 10.42.28 AM.pngm.

Hi there, @Nava

Thank you so much for providing those screenshots. It's very helpful to follow along with your concerns.

As my colleague has mentioned above, there might be a column or data that's disrupting the pricing format. Since you've stated that you pasted the data into QuickBooks, this leads me to believe you're experiencing some mapping issues. When you import into QuickBooks, it's very important to know that formatting is specific. Therefore, when your formatting isn't right, the data won't import due to mapping.

We do offer an import kit to help with these issues, we refer to it as an IIF import kit. The IIF import kit makes importing easy. The QuickBooks IIF Import Kit is a reference guide for creating and working with .IIF import files. It contains the following components:

  • IIF Import Manual: A .pdf document that outlines common .iif pitfalls and best practices.
  • IIF Header Help: The column headings used to import list data.
  • IIF Example Files: A folder that contains version-specific .iif transaction examples.

To learn more about our IIF import kit, check out IIF Overview: import kit, sample files, and headers

Please let me know if you have any additional questions or concerns. Take care and have a wonderful day ahead!

problem importing non inventory item in bulk- items over 999 will not import, other fields need to be inserted individually

I actually tried just typing in a demi item gave it a price with 4 digit and it would NOT import it either.  Something is NOT accepting ANY amount that is over 999.  So I did not copy and paste from any format.

I can import all other items that are less than $1000.

Any idea on how to solve it?  Is this something unique to the Mac will upgrading to the latest quickbook version Screen Shot 2021-08-30 at 11.51.55 PM.pngScreen Shot 2021-08-30 at 11.52.07 PM.pngScreen Shot 2021-08-30 at 11.52.39 PM.pngsolve it?

Thank you for getting back, Nava.

Yes, you can update QuickBooks Desktop (QBDT) for Mac to isolate the issue. The process also helps you get the latest feature updates and fixes.

Here's how:

  1. From the QuickBooks dropdown, select Check for QuickBooks Updates.
  2. If a newer version is available, select Install Update.
  3. When prompted, select Install and Relaunch.
  4. When the update is complete, QuickBooks for Mac automatically opens.

If the error continues, I recommend reaching out to our Support Team for further assistance. A live representative can look into your account securely and review the setup of your inventory items.
