QB Online Migration

Hi-We are looking at converting from QB Desktop Premiere to QB Online Advanced. Looking to hear where problems occurred and what recommendations any has to avoid problems in the conversation. Thanks in advance.

Which QB Desktop year version do you have?

Do you have any attachments?

Open your company file and press CTRL+1 to check your Total Target. You may need to condense your file if the size is > 750K. You can also use a QBO Advanced trial account to check the conversion process.

Hi there, @afnjlawbk

 

Let me share some insights on how conversion works, recommendations, the possible issues you might face upon performing this process, and how to fix them.    

 

Converting from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO) is an easy task we can quickly manage.

 

Beforehand, to avoid any issues when converting from QBDT to QBO, we have to ensure that: 

  1. The QBO Advanced account must be within 60 days old. 
  2. The QBDT account is up-to-date
  3. The QBDT company file isn't too big to export and must not exceed 750, 000 targets.   

 

If your QuickBooks version is 2018 or older, you can move your data to QuickBooks Online with an online tool

 

To convert from QBDT to QBO in QuickBooks Premier and Pro, follow the outlined steps: 

 

  1. Sign in as an admin to the company file you need to import.
  2. Go to Company, then select Export Company File to QuickBooks Online.
  3. Select Start your export.
  4. Sign in as an admin to your QuickBooks Online company.
  5. Select Choose online company, and pick the QuickBooks Online company you want to replace with your company file. 
  6. Select Continue.   
  7. If you track inventory in QuickBooks Desktop: 
    • Select Yes to bring them over, then enter the as of date.
      Note: Use the first day after your last tax filing period as your inventory start date.
  8. Enter Agree in the text field, then select Replace.
  9. Click Yes, go ahead and replace the data, then select Replace.

Also, it's important to note that there will be changes when we switch from QBDT to QBO. There will be specific transactions, features, and more that won't moved to QBO.

We've made the move experience as seamless as possible, but there are some errors you may see during or after the move. However, we still learn how to fix these errors. If you haven't encountered any issues but still cannot move your company file, we can perform a few quick troubleshooting steps to resolve these.

Be aware that if you are using QB Premier for Manufacturing, migration to QB Online may be a lossy process, there are many features that are not supported, such as bills of material, assemblies, and "building."

If the migration from QB Premier for Manufacturing to QBOnline must be done before 3rd party app integration, I expect the same loss of purchased manufacturer part numbers, custom fields, assemblies, and BOM structure would be incurred. I'm guessing that a second data conversion would be required to export QB Premier lists and import them to something like MISys MRP in order to recover the missing information. I'm guessing that a good MRP system will have a way to do this more cleanly with minimal loss.

Regardless, it isn't the one-click Convert to Online process implied by Intuit. QBO just doesn't have the same features for manufacturing. Even QB Premier is only useful for simple product structures. QB Enterprise only partially addresses the deficiencies but at a much-increased cost.
