The company has two subscriptions of QBO. One of them is for old history; one is used ongoing. but the historical data also needs to be kept. Is there a solution to deactive the subscription but keep the data by paying a lower fee?

One of my clients has two subscriptions to QBO. One of them is for old history; one is used ongoing. but the historical data also needs to be kept. Is there a solution to downgrade the subscription only for keeping historical data in QBO?

You can convert your data to QB Desktop and use the trial version to access the historical data for good.

Hello, @Sharon 8.

In your situation, you have two possible courses of action. You can either export your data or consider downgrading your subscription. I'll provide you with further details on both options.

Aside from 4Gal's recommendation, you can consider exporting the data and then cancel your subscription. This way, you will no longer be billed for a monthly fee. You still have read-only access to their entire data for one year before being permanently deleted. After that, you have to resubscribe to access the data. To export the old lists and reports, here's how:

  1. In Settings, click Export data.
  2. Decide a date range on the Reports tab.
  3. Remove or add an item from the Reports and Lists tab by turning on or off the switch.
  4. After that, select Export to Excel.

For additional guidance on exporting a different report or non-posting transactions in QBO, refer to this link for more detailed instructions: Export reports, lists, and other data from QuickBooks Online.

Alternatively, you may consider downgrading your subscription to retain access to and edit the old transactions and data. It's important to note that certain features you used might not be visible when downgrading your subscription if those features are not available in the lower tier. Also, if your multi-currency is enabled, switching to QBO Simple Start won't be an option.

On the other hand, if you want to keep the product at a lower fee, I recommend reaching the support team to see if there's an option for your request. To contact, here's how:

  1. In your QuickBooks, click Help (?).
  2. Select either of these tabs:
  • Assistant tab and select Talk to a human.
  • Search tab and click on Contact Us to connect with a support expert.

Additionally, I've also included an article to provide you with assistance in understanding QBO subscription levels and finding another subscription: Pricing and subscription levels for QuickBooks Online.
