User Permissions

Company Admins beware!!  I just discovered that Quickbooks Online has changed the user set up information and for standard limited customer and vendor users, the user is able to see our business financial information, which includes our profit and loss information for our business. I was told the only way to change this is to pay an additional $110 per month to upgrade my subscription. This is completely unacceptable, as this should be a basic function for even the lowest subscription plan. The financial information of a business is extremely confidential and should not be able to be accessed by our employees in order for them to use other functions of this program. Something needs to be done about this ASAP. Requiring us to pay them more money in order to protect the privacy of our businesses is extortion and needs to be fixed immediately!!

Meanwhile, when you choose limited access and then select both customers and vendors, the user can:

 

  • Enter estimates, invoices, sales receipts, credit memos, refunds, charges, and credits
  • Create and delete statements
  • Receive payments from customers
  • Fill out timesheets for anyone
  • Add, edit, and delete customers, vendors, products, and services
  • View customer registers
  • View customer and A/R reports
  • View vendor and A/P reports
  • Enter bills from vendors
  • Pay bills, write and print checks, and view check reports
  • Make bills and purchases billable to customers
  • Enter cash and credit card purchases
  • Add, edit, and delete projects
  • Add invoices, expenses, bills, time, purchase orders, project estimates, and receive payments to projects

On the other hand, you can modify the user role in all QuickBooks versions.

Here's how:

 

  1. Hover to the Gear icon, then select Manage users.
  2. Find the user you want to edit, then choose Edit in the Action column.
  3. You can change the user role from the Roles dropdown.
  4. Select the account management settings you want to manage.
  5. Hit Save.

User Permissions

I need my users to be able to do all of the functions that you have listed below, without them being able to have access to the profit and loss information for my business. That used to be possible with your program and I don't know when it changed, but it is a huge issue. The only other option, besides paying an additional $110/month for an upgraded subscription, is to give my user no access, which does not allow them to do their job.
