Transaction by account

I am trying to help my neighbor create a report that looks like what I use for my church, but I can't figure out how it was made. She essentially wants the transaction detail by account report but also wants in addition the beginning balance for each account reported as well.

My church report is a memorized report called transaction by account, showing the beginning balance. But I didn't make the report nor can I figure out how it was made.

Transaction by account

You can generate a transaction detail report with a beginning balance by customizing the General Ledger report, Bur.

QuickBooks Online (QBO) currently doesn't have a built-in feature to directly add a Beginning Balance column to the Transaction Detail by Account report. While this feature is not included in this specific report, the General Ledger report does. You can filter and adjust this report to see the transaction activity for a single account over a specific time period.

Here’s how you can customize your report:

  1. Go to the Reports section in the left menu.
  2. Search for General Ledger in the search bar and select the report from the results.
  3. Click Customize in the top right corner to adjust the report.
  4. Under Rows/Columns, add or remove columns such as Memo or Transaction Type, and reorder them by dragging.
  5. In Filters, select the specific accounts to include (e.g., assets or liabilities).
  6. Click Run Report to apply your changes and preview the updated report, which displays each account's beginning balance, transactions, and ending balance.
  7. Once satisfied, click Save Customization in the top right. Give the report a descriptive name, like Transaction Detail with Beginning Balance, and memorized the report for easy future access in the Custom Reports section.

I've included this photo below for you to picture out the finished report:

This new memorized report provides all the information your neighbor needs, with the added benefit of being easy to recreate and modify further.

Transaction by account

This got me almost there. I have the report made that I want, now how do I remove extra line items that I don't want to see on the report such as inventory asset, accounts payable, payroll liabilities, etc. I tried to filter to just "bank accounts" but all these additional lines remain on the report even if they are zero.

Thanks for keeping us updated when you tried the suggested report, Burroak.

I tried to use the same filter, and all other non-bank accounts were automatically removed from the report.

In this case, let's follow some troubleshooting steps to make sure to check if a browser issue is causing the accounts to still show up even if a filter was used.

First, let's add Intuit to your browser's list of trusted sites.

Then, remove your browser's cached data and any cookies related to Intuit. For detailed instructions that are specific to the browser you're using, check out this guide: Clear cache and cookies to fix issues when using QuickBooks.

After that, log back in and use the same filter in the report.
