Good afternoon, @andrea-photobydr.
It's great to see you back in the Community!
The best route to go in this situation, would be to disconnect the account and then reconnect with the new number. When you disconnect, you’ll no longer see transactions that still need to be categorized in the For review tab. If the transactions are older than 90 days, you won’t be able to download them from the bank when you reconnect. In this case, you can still manually upload old transactions.
When you're ready to reconnect, review this guide for additional details: Connect bank and credit card accounts in QBO.
I hope this helps. I'm only a post away if you need me. Have a great day!
Thank you for your help. When I add the new credit card number and activate it, I just need to sync the transactions associated with the new number correct? If I go back to January it will pull in transactions from the old card that have already been reviewed and confirmed. I suspect I just want to pull in from the last couple days, correct?
secondly, will the information from the original card number, receipts charges… Show at the end of the year in the report?
Hi there, Andrea.
Welcome back to this thread. I'm here to assist you in handling your transactions on your new credit card number to QuickBooks Online.
When you add the new credit card number to QBO, you'll need to sync the transactions associated with the new number. If you go back in January to pull in the transactions, it'll depend on your bank if they upload transactions from the past 90 days or more. Once your transactions are uploaded into your QBO account, you'll need to exclude transactions already in to avoid duplicate entries. You'll only need to categorize the transactions that aren't added.
Additionally, you can also consider reconciling your account to match them to your QuickBooks records.
Feel free to leave a reply if you have additional banking concerns in QuickBooks Online. I'll be here to assist you.
Please elaborate. Initially the credit card charges were all accounted for, prior to fraudulent activity. Froze card, so nothing that hasn't been accounted for. New card number assigned. Took the advice from the first response and deactivated the old card that was all caught up upon sign off; added the new number, connected the account, pulled in the new activity to the new card from 7/6/24 and on. Nothing previous for the new card number. All previous activity would have been for the old number and that was accounted for, confirmed, etc.
So, I don't want to double the info by downloading the old card's activity to the new card, right?
Hello there, andrea.
Let me dive into your conversation and help you in managing your new credit card transactions in QuickBooks Online (QBO).
In QBO, all transactions in the For Review tab of your old credit card that have been disconnected will automatically disappear, except for those transactions that were categorized or matched within QuickBooks. Furthermore, if all the transactions from your old account have been categorized then you don't have to download the same transactions to the new card to avoid duplicates that can mess up your books.
Therefore, if you want to avoid duplicating entries when downloading transactions from the old card to the new card, you must review and categorize the transactions. Likewise, if the recent transaction will not show up then you can manually upload them in QuickBooks.
Once your transactions have been downloaded, match and categorize them, and then reconcile your account so it always matches your monthly statements.
I’ll be around the corner if you need an extra pair of hands in handling your transactions or any QuickBooks-related matters, Andrea. Stay safe!
Oh good, looks like I understood correctly. Yes the old card number (compromised) had every transaction to date reviewed, accounted for and confirmed, prior to disconnect. The new card number only has its activity downloaded from 7/5/24, as that’s when it was assigned.
glad I don’t have to download all the info and re-review/confirm from the beginning of the year!!! Shwew!
thank you
