I am having problems with a banking rule.  I have a rule setup to record deposits to an AR account. QBO is duplicating these transactions by recording them to the AR account, but also booking them to unapplied sales income. Hence doubling my income.

I am in the restaurant industry, so we receive daily deposits from our merchant service provider (MSP). I am currently booking a JE to post my sales ie. CR Sales DR AR. My banking rule should DR Checking Acct and CR AR. By recording transactions this way, it allows me to reconcile my AR to ensure we receive all funds from our MSP.

Why, is QBO re-classing these transactions, and what I am missing in this process? Any suggestions would be greatly appreciated. At this point, I’m not a big fan of QBO for my accounting system.

I have some solutions on how to resolve this duplicates issue, jarrowood.

 

QuickBooks is dependent on what your financial institution shares with us. Manually updating the bank account and turning on the Auto-add feature can cause duplicates. To fix this, let's turn off the feature, then exclude the duplicates. 

 

Here's how to turn off the feature:

 

  1. Go to the Banking menu, and then choose the Rules tab.
  2. Select the banking rule you want to check. Then, click the Edit link to review it.
  3. Check if the Auto-add radio button is enabled. If so, you can turn it off to prevent duplicates moving forward.
  4. Click Save when you're ready.

 

Once done, I'd suggest following these steps to exclude the transactions.

  1. Go to the For Review tab.
  2. Mark the box next to each duplicate transaction.
  3. Select Exclude from the pop-up at the top.

After resolving the duplicates, you can do your usual reconciliation. This helps make sure your books are correct.
