Does anyone know why I can't print all of my recurring transactions at once? I have 160 of them that I have to do manually/individually. Talk about time consuming!

I recently "upgraded" to QB Online.  Printing all my recurring transactions took literally seconds, a few key strokes.  Now I'm spending HOURS doing each one individually.  Had I known this, I would not have made the switch.  Now have to look at other software options.  Anyone else have this problem.  I would think for programmers, this would be a super easy fix.  Not happy!

For us to help rectify the issue, can you share with me what type of recurring transactions you're trying to print by batch? You can also share with us the which Window in QuickBooks you're trying to print them. Any additional info would be much appreciated.

All of my customers are recurring customers.  I send out quarterly water bills and each household is charged the same amount every quarter.

 

I go to "recurring transactions".  There isn't an option to print them all at once.  I have to go into each one individually to print them.  160 times!   Very tedious and time consuming.

 

Like I said, my super old desktop version of QB did this simple task.  No problem.  I switch to QB Online and can no longer print them all at once.  Why is that?  I've called customer service numerous times with no satisfaction.  I'm not happy paying $60/month for a program that can't do something as simple as that.

 

I really hope there is a solution to this.

Hi, @morrisonsanitary.

 

Printing multiple transactions at once definitely saves us some time, so I'll lay down the steps below:

 

  1. Go to Sales on the left navigation panel. 
  2. Under All Sales, check the checkbox for all the recurring transactions you want to print.

  3. Click the dropdown arrow beside Batch actions
  4. Then, click Printpic2.png

Unfortunately that did not work.  I went to Sales, All Sales, and I do not see my recurring invoices listed.  Am I doing something wrong?

You can use your filtering drop-down lists (Type, Date, and Customer) to search for particular invoices.


 

After finding the invoices you're looking for, you can tick their checkboxes and use your Batch actions feature to print them at the same time. Detailed steps for doing so can be found in Jane Reyzel's post.

 

You also have similar options available on your Invoices screen.


 

Additionally, you can change the sorting of sales transaction lists by clicking a column's Up (▲) or Down (▼) icon. This will change your sorting to either ascending (▲) or descending (▼) order.


If you're looking for a button/screen that would print all invoices created from a particular recurring template you have in place, I can certainly understand how such an ability could be useful and have submitted a suggestion about it as of today. You can also submit your own feature requests while signed in.

OK....here's what I'm seeing.  

I print my recurring invoices quarterly.   When I go to Sales, All Sales, I choose "this quarter" and it shows me the invoices that I printed this quarter, most of which have now been paid.

 

So, now in a couple months when I want to print the recurring invoices again, what should my process be?

Allow me to assist you with your concern, morrisonsanitary. 

 

In QuickBooks, you can choose the dates that you want to show up in your All sales interface by utilizing the Custom dates option. 

 

Here's how: 

 

  1. Go to Sales. Then choose All sales.
  2. Click the drop-down button beside the Date
  3. Choose Custom Dates.
  4. Enter the Starting and End date. You can also click the calendar icon. 
  5. Click Apply

 

Now that you're able to customize your dates, you can now print your recurring invoices.

Is there any way I can set up a call with someone so I can share my screen and you can see exactly what I'm seeing and walk me through what I need to do?  When I look at all my recurring transactions, they are all listed as "unscheduled" for some reason.  Do I need to change something to get them to show up in Sales??

Let me continue to help you with your recurring invoices, morrisonsanitary.

 

Yes, your recurring transactions should be set to Scheduled so they automatically create invoices for each customer. These generated invoices can be found in Sales: Invoices sections, and can printed in batches. We can change them Scheduled, so they will automatically invoices in the next quarter 

 

  1. Go to the Gear icon.
  2. Choose Recurring transactions.
  3. Click Edit on one template.
  4. In the Type field, select Scheduled.
  5. Put 0 in the Create [ ] days in advance.
  6. In the Options section, put a checkmark in the Print later checkbox.
  7. In the Interval section, choose [Monthly] on [day][the day in the first month the form should generate] of every [3] months.
  8. In the Start date field, enter the date next quarter the form should be generated. Leave the End date empty.
  9. Click Save template.

To print the created invoices in batches, go to the Sales section and do the same steps as my colleagues suggested above. Here's how the process should look like:
