Double Recorded Payments

I was asked to "clean up" QB Online for a new business. The owner used Clearent for card payments for several months and synced it into QB to record customer payments. He was also manually accepting payments per customer invoices which also posted to his checking account in QB. So for several months he double-recorded entries into his checking. The Clearent entries are slightly different as fees were taken out. Which type of entry should I remove, and what would be the best way to do that without just making things worse?

I appreciate your time posting here in the Community forum, @jlangr. I'm here to help you with removing the duplicate transactions and clear out the duplicate fees. 

 

Adding downloaded transactions that you've already manually entered into the program results in duplicate transactions. For instance, your client connected their Clearent account to QuickBooks, so it downloaded the entries from the app. He then manually accept the payments from his customers. Thus, both transactions appear in the register.

 

To avoid this from happening, you'll need to locate a match for these transactions. I’ll show you how:

 

  1. Go to the Banking menu, then select your bank account.
  2. In the For Review tab, click one transaction.
  3. Select Find match.
  4. In the Match transactions page, choose the transaction that matches and click Save.

 

Additionally, you have the option to exclude these duplicates in the Online Banking menu if they have already been approved from your bank feeds. 

 

Here's how:

 

  1. Go to the Banking  menu and then select Banking.
  2. In the Reviewed tab, find the duplicate deposits.
  3. Click Undo in the Action Column.
  4. In the For Review tab, select the duplicate transactions. 
  5. In the Excluded tab, check the boxes for these duplicates.
  6. Click on Batch actions and select Delete.

 

You’ll want to read through this guide to learn when you should exclude or delete the transaction: Exclude a bank transaction you downloaded into QuickBooks Online. This also contains the steps you can perform if you’re using Web, Android, or iOS.

 

Furthermore, duplicate bank fees occurs when it is assigned twice to the same bank account (as both the debit and credit account). To correct this, let’s reclassify the bank charge as an expense and the bank interest as income on the Reconcile screen or Bank Register.

 

Follow these steps to fix duplicates on the Reconcile screen:

 

  1. Go to the Gear icon, then select Reconcile.
  2. From the Account ▼ drop-down, choose the appropriate bank account.
  3. Select Resume reconciling.
  4. Locate the bank fee or interest income, then click Edit.
  5. Correct the entry.
    • Bank fee entry: In the Account column, change the account from Bank to the Expense account you use for bank fees.
    • Interest income entry:
      1. Go to the Add funds to this deposit section.
      2. Under the Account column, change the account from Bank to the Income account you use for bank interest.
  6. Hit Save and close.

If you’ve tracked the fees separately, you can keep recording them using your Clearant account.
