Hey experts, can you tell me what happens to transactions on a project when you cancel it?

I have 3 projects that for some reason are stuck. QB thinks there are open items on it, but I cannot find anything open. Multiple chat representatives have been zero help thus far with figuring out why they won't close. If I mark them cancelled just to get the customers to be able to be inactive, would that mess with my payroll and other expenses on them? TIA?

Hello there, Rachel.


This isn’t the kind of impression I want for you, especially when contacting our support team and using the Projects feature. I'm here to help check where are the open items, so you can close the project.


This issue you’re experiencing occurs when there are billable expenses that are still open. Let’s go to the Sales Transactions page to find the transactions. I’ll help and guide you on how to get there.


To check the billable expenses:

 

  1. Tap the Sales menu on the left panel and choose All Sales.
  2. From the list, look for the billable expenses.

 

If you're unable to find them, create an invoice to link the billable expense to your customer. Here's how:

 

  1. Tap the New menu in the upper right and choose Invoice.
  2. Press the Customer drop-down and select the customer you created a billable expense for.
  3. This opens the Add to invoice window.
  4. Pick Add on the billable expense you want to charge to your client.
  5. Hit Save and close.

 

When you cancel the project, the status will show as Canceled. You’ll still be able to view the data on the reports.


Once you inactivate a customer, the name is removed from the customers area, reporting options, and any other place where it’s listed. If you have transactions, it will say Name (deleted), with the name of the inactive customer.

Thank you for the attempt to help.  Unfortunately, all billable items have been added to my invoices, but QB is still unable to close for whatever reason.

Thanks for reaching back out to the Community and adding some clarification on this issue. Allow me to give you some helpful information about projects in your QuickBooks Online (QBO) account. 

 

Since you've tried all of the steps my colleague provided above, I recommend contacting our Customer Support Team. They'll be able to use a screen share to walk you through some additional steps to help fix this problem. Here's how:

 

  1. Go to the Help icon in the top right-hand corner. 
  2. Press the Contact Us button. 
  3. Give a brief description of the issue (Unable to close project) and tap Let's talk
  4. Scroll down and choose to Get a callback

 

Afterward, you'll receive an estimated time of when a QuickBooks Specialists will be in touch with you. You can check out this link about projects to help you in the future.
