How do I delete a checking account and add a new account. My bank was purchased by another bank and the routing and account numbers have changed?

Hello, wkrentz.

There are several scenarios in deleting your checking account in QuickBooks. I'd like give you a thorough and step-by-step instructions in handling the recent changes coming from your checking account.

If the checking account has no transactions recorded yet (and not yet connected to any services like payroll), you can safely inactivate it from your Chart of Accounts (this won't be completely deleted however):

  1. Go to your Chart of Accounts page.
  2. Find the checking account, then click the arrow icon beside View register.
  3. Select Make inactive
  4. Proceed with Yes on the confirmation prompt.

Create a new checking account by clicking the New button on the Chart of Accounts page.

If your checking account has already a number of entries, it's recommended to keep it in your Chart of Accounts.

Deleting or inactivating it will create an adjusting entry in your books. However, this might cause issues in your reports or balances.

In addition, handling it depends if it is connected to payroll, Online Banking feature, or the Payments service.

Is the checking account connected to the Online Banking feature? If that's the case, there is no need to delete it from QuickBooks and create a new one.

All you have to do is to update the sign in information to continue using the Online Banking feature:

  1. Go to the Banking page.
  2. Click the blue box widget for your connected checking account.
  3. Click the small pencil icon.
  4. Select Edit sign in info.
  5. Enter the updated username, password, and the account number.
  6. Hit Save and connect

However if the new owners have completely overhauled the website (new links, new data, etc..), then there might be a new connection listed in our Banking page.

In this case, simply disconnect the account and check for the new connection.

Before disconnecting, make sure to categorize the remaining transactions under the For review page first.

To disconnect the account:

  1. On the Banking page again, click the blue box widget.
  2. Click Edit account info.
  3. Check Disconnect this account on save
  4. Hit Save and Close

Reconnect with the new banking link and connection data for the checking account. Check this article if you need help connecting it: Connect bank and credit card accounts to QuickBooks Online.

If there's no new link or connection, consider uploading your bank transactions manually in the meantime.

However, if the checking account is connected to other services like payroll or the QuickBooks Payments service, simply update the account information.

There are step-by-step instructions and procedures on how to do this. You'll want to check these articles for a guide:

If you're ready to reconcile your new checking account in the future, you can check this article for a guide: Reconcile an account in QuickBooks Online,

I'm ready to help you out again if you have more questions about handling accounts in QuickBooks. Need help recording your entries and other transactions? Let me know and I'll get back to this thread and lay down a guide.

Hi there, Glen.

Thanks for joining this conversation. Allow me to jump in and answer your concern about Banking in QuickBooks Desktop (QBDT).

The steps shared by my colleague above are for QuickBooks Online (QBO), that's why they're different. May I know if you're trying to delete your checking account too? Any additional information will help me provide the best resolution for your concern.

Just click the Reply button below to add more details.

I'm looking forward to hearing from you soon.

Thanks for coming back to us, @Glen. Yes, you can make the account inactive.

Deactivating an account doesn't remove the information in your business data or reports in QuickBooks Desktop (QBDT). I'll guide you on how to do it.

  1. Go to the Lists menu, and choose Chart of Accounts.
  2. Right-click on the account you want to make inactive, then select Make Account Inactive.
  3. Hit Yes to confirm.

To set up a new account:

  1. Click the List menu, and choose Chart of Accounts.
  2. Select the Account drop-down arrow, and click New.
  3. Choose the account type.
  4. Hit Continue.
  5. Enter the Account Name and other information needed.
  6. Press Save & Close.

Additionally, here are some references you can use to manage your Chart of Accounts in QuickBooks:

Let me know if you have any further queries regarding the Chart of Accounts. I would gladly review your concerns and provide any assistance I can. Take care and stay safe.
