How do I get a QB Enterprise file into the right format to migrate to Online?

I can share some information about migrating data to QuickBooks Online (QBO), larrylambeth.

When converting your QuickBooks Enterprise data to QBO, you'll have to make sure that the file is less than 750,000 targets. This way, you can successfully convert your file.

Please take note of the following information before moving to QBO:

  • After signing up for QBO, you have 60 days to move a company file.
  • If you've previously set up payroll in QBO, move your lists instead of your company file.
  • Because of feature limitations, some of your lists and reports will not be converted.

Moreover, Yes, QuickBooks Desktop Enterprise doesn't have the Export Company File to QuickBooks Online option under the Company. Instead, you can follow these steps to start migrating your data.

  1. Log in as an admin to your company file.
  2. Press F2 (or Ctrl + 1) on your keyboard to open the Product Information window.

  3. Select Ctrl Q, then click OK to display the export window.
  4. On the export window, select Get started.
  5. Sign in as an admin to your QuickBooks Online company.
  6. Click Choose online company, then select the QuickBooks Online company you want to replace with your company file.
  7. Hit Continue.
  8. If you track inventory in QuickBooks Desktop, select Yes to bring them over, then specify the as-of-date section.
  9. Enter “Agree” in the text field, then select Replace.
  10. Press Yes, go ahead and replace the data, then select Replace.

After the migration, it is recommended to compare the reports in QuickBooks Online and Desktop. This is to ensure that everything matches. Otherwise, you'll need to review the conversion guide.

Open your company file on QB Desktop and hit CTRL+1 keys. How big are your Total Targets?

OK, thank you - that worked.

So my next question is that I have several other accounts I also want to bring into the same new Online account. They were separate files in the Enterprise version. Can I just import those the same way and have them now in the same QBO account?

Thanks for getting back to us, Larry. Let me add my voice to the discussion and provide additional details regarding importing accounts from a separate QuickBooks Desktop (QBDT) Enterprise account into QuickBooks Online (QBO).

The conversion completely overwrites any previous information in the QuickBooks Online company. Previously entered or imported data will be erased and replaced by any further migrations made within the 60-day timeframe.

That said, we're currently unable to import a chart of accounts from another QBDT company file, as it will replace the ones already entered in QBO.

Moving forward, here's an article to learn more about the steps you should take after you move your QBDT file to QBO to ensure your data is ready to go: What to do after you move from QuickBooks Desktop for Windows or Mac to QuickBooks Online.

If my total targets are too big how do I make that smaller so that I can convert.  I am trying to convert and it keeps freezing up my QB or telling me I have to start a new company.

How do I get a QB Enterprise file into the right format to migrate to Online?

Hello there, @michellewald.

I'm here to help you condense your file to convert from QuickBooks Desktop to QuickBooks Online.

Yes, you can condense your file if it is too big to be migrated. Before doing so, make sure to back up your files.

Here's how:

  1. From the QuickBooks File menu, select Utilities and then Condense Data.
  2. Click on Yes to the message "Budget data may be moved during cleanup. Do you want to continue anyway?".
  3. In the Condense Data window, select Transactions before a specific date.
  4. Use the Date field to select a date. QuickBooks will remove closed transactions on or before the date you choose.
  5. Hit Next.
  6. Select a method to summarize the transactions you're removing, then Next. If you're not sure, tap on Help me choose.
  7. (Optional) Click on any of the checkboxes for the dialog boxes that follow, then hit Next.
  8. Select Begin Condense.

For additional information about this process, check out Condense your QuickBooks Desktop file for import to QuickBooks Online

I'm also adding this article to know more about what will happen after condensing: Use the Condense Data utility.

Feel free to click the Reply button below if you have questions about condensing data. I'm always here to help. Have a great day.
