How do I import data into Quickbooks from previous accountant?

Importing an accountant's data in a flash drive to QuickBooks Online depends on the file format, Sparky.

If the file is from the QuickBooks Desktop backup, I recommend downloading a free trial version of the QuickBooks Desktop.

Make sure that your computer meets the minimum requirements for installing either QuickBooks Desktop Enterprise 24.0 or QuickBooks Desktop for Mac Plus 2024 before you begin.

Take note not to attempt to register for the trial. Doing so may result in being locked out of QuickBooks. Instead, save the trial install file in a location that is easily accessible. There is no need for any codes to open the trial.

Here are the trial versions you can save:

Remember to relocate the backup company file from an external device such as a USB or a hosting service like Box to your local hard drive before proceeding with the following steps.

  1. In QuickBooks, go to the File menu and select Open or Restore Company.
  2. Click Restore a backup copy and then Next.
  3. Choose Local Backup and then Next.
  4. Browse your computer for your backup company file. It should look like this: [Your company name].qbb.
  5. Select a folder to decide where to save your restored company file. Then select Open.
  6. When you're ready, click Save. If you see any messages about possibly overwriting your data, select the option that best fits your needs. Don't overwrite anything unless you know you want to.

Please keep in mind the following information: If you open the backup within the same directory as your current company file, there is a risk of overwriting your data. To prevent accidental overwriting, you have the option to rename either the existing company file or the backup to ensure that their names are distinct. Another option is to store the backup in a completely different directory.

When you're ready, you can check this article which also contains a video to guide you in exporting your files from QuickBooks Desktop to QuickBooks Online: Move your QuickBooks Desktop file to QuickBooks Online.

For future reference, I'm adding this article to help you fix errors if ever you encounter an error while moving your data from QuickBooks Desktop to QuickBooks Online: Fix errors when you move from QuickBooks Desktop to QuickBooks Online.

You can use the trial version of QB Desktop 2023 Enterprise to restore the backup file and convert it to QBO.
