How to I avoid the "file upload failed" message when importing older transactions via CSV file?

Hello there. Let me share some helpful information on how to prevent getting the file upload failed message when importing older transactions via CSV file manually in QuickBooks Online.

Here are some key points to keep in mind:

  • Incorrect Mapping: During the mapping stage, select the correct columns. If the mapping is off, QuickBooks won't be able to read the data.
  • Delete unnecessary columns from your CSV to avoid confusion.
  • Required columns for QuickBooks are Date, Description, and Amount.
  • Formatting: Banks create CSV files differently, so watch out for formatting issues like currency symbols and commas. Keep the amounts column simple and change it to a general format if the format is currency.
  • Characters: Remove any special characters from bank descriptions.
  • Date Format: Make sure it matches the one you chose during mapping and use the Short Date format.
  • Check for Formatting Issues: Copy CSV content to a blank spreadsheet to spot any hidden issues.
  • Money Out Transactions Only: If your CSV has debit and credit columns but only contains Money Out transactions, add an extra line with a positive amount. Untick the added line on the transaction list page before uploading to QuickBooks.
  • Account Type: Avoid importing to subaccounts (it is currently not supported). Instead, connect subaccounts directly to the bank feed or manually enter transactions in QuickBooks Online.

Also, you can try what 4Gal mentioned above.

Furthermore, you could check out this article to learn how to check the format of the CSV file you got from your bank to upload transactions: Format CSV files in Excel to get bank transactions into QuickBooks.

Moreover, you can also visit this article to learn about Schedule C categories and how to categorize transactions: Schedule C and expense categories in QuickBooks Solopreneur and QuickBooks Self-Employed.

Let me know if you have additional questions about importing older transactions or any QuickBooks-related concerns. Stay safe.
