How to match the refund from purchased receipt

Help has arrived, @DaniBi.

I appreciate you for laying out the details of your concern and adding a visual reference to help us get on the same page.

I'm here to share some details about matching bank transactions.

Please know that we're unable to match a refund transaction to a purchased receipt in QuickBooks Online. Thus, it's a money in and out transaction. What we can do is record the refund in QBO. Just ensure that the details you'll enter will match the purchase receipt.

I'll show you how to do it:

  1. Click+ New and select Refund receipt.
  2. Select the Customer ▼ dropdown, then select the customer you want to refund.
  3. Choose the Refund From ▼ dropdown, then select the bank you deposited the payment for the invoice.
  4. Add all products or services the customer returned in the Product/Service column.
  5. Ensure to fill in the date, quantity, rate, amount, sales tax, and other fields accordingly, then select Save and close.

Please see this article for more details about refunding a customer: Record a customer refund in QuickBooks Online.

However, if this is a refund from a vendor, you can use the steps from this article in the If you enter expenses or write checks section to record itEnter vendor credits and refunds in QuickBooks Online.

After that, you can now match the downloaded transaction to the recorded refund.

On top of that, please review this handy resource to learn more about refunding transactions: Understand fees for refunds or void transactions.

You can always reply or reach out to us again if you need anything else with refunds or transactions in QBO. Take care always.
