You can log in as an administrator to sync your data from QuickBooks Desktop to QuickBooks Online and navigate to the Company menu to export your company file, nilkanth. Let me share you the details of how the data import process works, ensuring you have a clear understanding every step of the way.
Before copying your data to QBO, make sure that your QBDT is installed with the latest update first and back up your QBDT company file. Then, verify and rebuild data in QBDT before you switch to QBO for a seamless sync. After that, proceed with these steps:
- Sign in as an admin in QuickBooks Desktop. In the Company, select Export Your Company File to QuickBooks Online.
- Choose Get started and sign in as an admin to your QBO company.
- Pick the company you want to replace with your company file. Select Continue and choose Export.
- If you track inventory in QBDT, ensure to click Yes to bring them over, then enter the as-of date. Select No to set up new items later in QBO. If you have existing data, QuickBooks will prompt you to confirm if you wish to replace it.
- Enter Agree in the text field, then select Replace.
- Select Yes, go ahead and replace the data, then choose Replace.

Moreover, know that when transferring data from QBDT to QBO, you can import bank data, customers, vendors, chart of accounts, products and services, and invoices. However, some data might not transfer due to platform differences, potentially leaving certain transactions behind. For detailed information on non-transferable data, refer to the article: Learn how features and data move from QuickBooks Desktop to QuickBooks Online.
To ensure your business data file remains accurate, if you notice any business transactions that were supposed to be transferred to QBO but were left in QBDT, you can manually import them.
After importing your data, I strongly recommend reviewing it to ensure everything transferred accurately and your balances are correct. To verify this, compare your financial reports by running a Profit and Loss and Balance Sheet report in both QBO and QBDT. When doing so, set the date range to All Dates and choose the Accrual for the Accounting method.
