When you scan or upload receipts in QuickBooks Online, the system recognizes them as expenses and does not automatically create refund receipt transactions.
A refund receipt is used to record the return of funds to a customer, while an expense transaction is used to reflect costs incurred by the business.
Therefore, it's best to avoid categorizing refund receipts as expenses to maintain accurate financial records.
In your case, we can delete the imported refund in the Receipts tab and use the Refund Receipts feature to record the transaction manually.
To delete your imported refund, follow these steps:
- Head to the Transactions tab, then the Receipts tab.
- Locate the entries and click the Action dropdown.
- Select Delete. Follow the same process for the duplicates.

Now, to record your refund manually, please follow these steps:
- Click +New, then Refund Receipt.
- Choose your customer, then set the Refund Receipt Date.
- Pick your payment method and where the refund is from.
- Complete all the necessary details, then hit Save.

After recording the refund receipts, we'll wait for the transaction to clear in your bank account. Once cleared, it will appear in your For Review tab, where you can match or categorize your transactions. Nonetheless, I recommend consulting your accountant for further guidance in managing your entries and the reconciliation process.
