Matching Bank Feed Payroll Tax Deposits from Another Program

Hi all,

 

Just switched from Accountedge to Quickbooks Online mid-year. First quarter payroll was completed through AccountEdge. I just finished entering all previous pay details and tax deposit amounts for Q1 through Quickbooks payroll setup.

 

After adding the previous Q1 tax deposit amounts/settlement dates, I assumed Quickbooks would allow me to match them with the corresponding bank-feed tax deposits. However, this is not the case. Does anybody have any suggestions on how to proceed? I need help clearing the tax deposits from the bank feed to finish reconciling my checking account. Thanks!

Matching Bank Feed Payroll Tax Deposits from Another Program

There are two possible reasons why you're unable to match your tax deposits, gpthrush.

 

It can be that the transactions were already matched to another downloaded transactions. It's also possible that they were already reconciled.

 

To check if the transactions are reconciled, please follow these steps:

 

  1. On the left panel, click Accounting.
  2. Select the Chart of Accounts tab.
  3. click the View register link of the bank account where the transaction is recorded.
  4. Find the transaction and check to see if it's reconciled (Indicated by the letter R).

 

If the reconcile status shows R, you can undo it, but I'd recommend reaching out to your accountant before doing so. 

 

You can also exclude the transactions and leave the reconciled one as it is.

The transactions are not reconciled and they have not been matched to another transaction. I have 6 semi-weekly federal tax deposits and 3 monthly state tax deposits. I have not completed any payroll on Quickbooks. I am in the process of migrating over from another accounting program. 

 

I have gone through all of the steps inputting all of the first quarter wages per employee and setting up the pay categories. Under "Prior Tax Payments", I entered all of the tax payments I made with my previous accounting software. The only thing I have not completed is authorizing Quickbooks to provide payroll services for my company. 

 

After entering all "Prior Tax Payments", I thought I would be able to match the bank-feed tax deposits to the prior tax payments I entered. How can I get this done? Do I need to e-sign for payroll with Quickbooks before I can match these transactions?

Here are the factors to consider when matching transactions in QuickBooks:

  • Verify the transaction was entered using the same bank account.
  • Make sure the Quickbooks Online transaction has not been previously matched to another bank downloaded transaction.
  • The dollar amount in QBO is different than what cleared the account.
  • The transaction is not older than 180 days.
  • The transaction type is different in QBO than at the bank.  
  • The information from the financial institution is a payment/deposit.

Since you haven't reconciled your downloaded tax payments, you should be able to match it with your manually recorded ones. 

 

Here's how:

  1. Go to the Banking menu.
  2. Choose the Banking tab.
  3. Select the bank account where the tax payments are associated.
  4. Click the For Review tab.
  5. Locate the tax payments.
  6. Click the transaction to expand and you'll see its complete details.
  7. Pick the Find Match button.

Thanks for the reply.

 

I have tried to manually match the transactions, but none of the prior tax payments I entered during the payroll setup for Q1 are showing up. I am sure that if I had ran payroll on Quickbooks, I would be able to match these tax deposits. Unfortunately, none of the Historical Prior Tax Payments I entered during the final payroll setup are showing up to match.

 

I just read this Quickbooks Support article https://quickbooks.intuit.com/learn-support/en-ca/taxes/enter-historical-payroll-tax-payments/00/262... 

 

The article states that "Historical Prior Tax Payments do not post any debits or credits to the Chart of Accounts". Does this mean that I will need to create expense transactions for all of these tax payments? Should I make the vendor the tax agency and then break apart the FICA / Income Tax? I have already done this in the "Prior Tax Payments" section. However, this article suggests that I need to do it again. Is this correct?

I'm amazed that you've already done so much on your QBO account, gpthrush.

 

Yes, the prior tax payments do not affect your Chart of Accounts. They are only made for tracking purposes. 

 

To make them affect your register, you'll need to create expense transactions for the tax payments. It is not necessary to breakdown the expense per income tax. You can just select Payroll Expenses: Taxes for the affected category.

  1. Click the + New button and select Expense or Check.
  2. Enter the agency in the Payee field and select the Bank Account you used to pay those taxes.
  3. Enter the correct Payment date.
  4. Under the CATEGORY column, you select the payroll expense account and enter the amount.
  5. Click Save and close.
