Matching Bank Feed with Undeposited Funds

I use OB POS and OB Desktop. OB POS combines my credit card transactions into one entry that goes to Undeposited funds. However the bank feed separates these deposits by store. Is there a way to combine the bank feed deposits to match the single deposit in Undeposited Funds?

Matching Bank Feed with Undeposited Funds

Welcome to the Community space, Diana.

In QuickBooks Desktop (QBDT), matching two deposits to a single transaction isn't possible. A single deposit can only be linked to several transactions.

Rest assured I can share some steps to help you get around this issue. I recommend deleting and recreate your credit card transactions separately. This way, you can match them with your bank deposits. I'll show you how.

  1. Go to the Lists menu.
  2. Choose Chart of Accounts.
  3. Locate and then double-click the Undeposited Funds account to open it.
  4. Find and then right-click the transaction.
  5. Choose Delete Payment or Delete Deposit.
  6. Select OK to confirm the changes.
  7. Recreate your credit card transactions and match them to your deposits.

I'd also recommend working with your accountant for other ways to record this and to ensure the safety of your accounts.

In addition, I got you this link which has all the instructions on how to sync your bank and QuickBooks balances seamlessly: Reconcile an account in QuickBooks Desktop.

I'm all ears whenever you need more help matching your deposits and accounts. Just add the details in your reply and I'll take care of it for you. Have a good one!

Matching Bank Feed with Undeposited Funds

I can't delete the deposit.  When my POS does a financial exchange it sends over summarized data in the form of a sales receipt that lists all my transactions for the day

The deposit into Undeposited funds is created on this zero value sales receipt because it has an item that's a payment linked to undeposited funds account.  If I delete this sales receipt I lose all my other data.

Hello there, @Diana_SB. Allow me to share some insights about financial exchange.

QuickBooks Desktop Point of Sale keeps track of your day-to-day point-of-sale transactions, such as acquiring, receiving, and selling items, as well as inventory and customers. QuickBooks Desktop, on the other hand, aids in the payment of bills, the management of cash flow, the creation of invoices, and the generation of financial reports.

Financial Exchange is a method of transferring data between these two applications that can be done at any time or as part of your end-of-day process. Financial Exchange saves your workload by preventing you from entering the same information again.

Data is sent from the Point of Sale to QuickBooks Desktop and vice versa when completing the financial exchange.

Check this article to learn more about Financial Exchange: Financial Exchange Overview.

One of my colleagues above, @JasroV, mentioned that it's not possible to connect two deposits to a single transaction. Only a single deposit can be linked to several transactions.

Working with your accountant on alternative ways to document information and maintain the security of your finances is a good idea.
