Matching up Sales Receipts with downloaded bank transactions now has 5 more steps than it used to have

Matching up Sales Receipts with downloaded bank transactions used to be an easy 2 step process. Now it’s a 7 step process. I know the original process didn’t always work perfectly, but there were ways to force it to work (logging out and logging back in seemed to do the trick). Now, though, the 2 step process has become a 7 step process and takes about three times longer than it used to. This is far from ideal when us small business owners are already bearing the brunt of cuts, increased costs etc and simply do not have the time to manage ‘improvements’ that triple our workload. Is there any other way to reduce so many steps?

Matching up Sales Receipts with downloaded bank transactions now has 5 more steps than it used to have

I appreciate you for sharing your concern, Larissa. Let me share some info to help you smoothly match the entries in the program.

In QuickBooks Online (QBO),  you can immediately match your sales receipts and other entries to your downloaded bank transactions if they have the same date, amount, and bank. Here's how:

  1. From the Transaction menu, select the Bank Transaction tab.
  2. Tap the correct credit card/ bank account you want to review. Select the For Review tab.
  3. Tap each transaction, click the Match radio button, and locate the sales receipt. Ensure the date and amount are correct, then click Match.

Check this article for other details: Match online bank transactions.

You may also set up bank rules to automatically scan and categorize your transactions, making the process more convenient.

You've mentioned that you've been working to make it function properly and have already tested logging out and back in again.  I also recommend accessing your QuickBooks Online account in an incognito or private window to see if it's a browser issue, which may cause unexpected problems when accessing the transactions.

Refer to the following browser keyboard shortcuts below:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

Once the private browsing session works, clear your main browser's cache to restart the program. In case it doesn't work, another way is to utilize other supported browsers.

Also, could you please share the additional steps you've taken to match your entries? Please include a screenshot, as it will help us double-check the details and provide you with the most accurate solution.

Additionally, check out this article to help you verify that your bank and credit card statements are properly matched. Refer to this article for guidance: Reconcile transactions.

I'll keep an eye on your response. Keep me posted if you have other questions about managing transactions. I'll be around to help.
