QBO not pulling transactions from employee cards

I have a Chase credit card for my business (let's say ending 1234). I recently opened an employee card for an employee under the same account.

The card does have a separate card number (let's say ending in 5678), however it doesn't have a separate account or anything. When the card is used, the transactions show up in my Chase account under my card account (1234).

Pretty standard stuff, I assume.

However, Quickbooks for some reason is not pulling in any transactions from the employee card. So if I have say...

$20 charged to 1234

$50 charged to 5678

In my Chase account I would see, on the same statement, the $20 charge and the $50 charge. However in QBO it only pulls in the $20 charge, and not the $50 one.

QBO not pulling transactions from employee cards

Good day, @cosmicvacations.

Let me help you set up the added employee card in your Chase credit card account in QuickBooks Online (QBO) so it will pull up transactions accurately.

The added account is termed a subaccount in QBO while the main one is the parent account. If this isn't set up correctly, transactions might not pull up.

You can set up your credit card with multiple associated cards by creating a parent account and individual cards as a subaccount in QBO.

Here's how:

  1. From the Settings, choose Chart of accounts.
  2. Pick New.
  3. Type in the Account name. Then, select an Account type and Detail type from the dropdowns.
  4. If this is a subaccount check Make this a subaccount, then select the Parent account it should be under.
  5. Enter Opening Balance, and fill out the starting date in the As of section if you choose a Bank, Asset, Credit card, Liabilities, or Equity account.
  6. You can choose to add a Description. Afterward, click Save.

Check out this article for more details: About bank or credit card subaccount setup.

You might want to categorize transactions from your bank automatically. Feel free to read this article: Set up bank rules to categorize online banking transactions in QuickBooks Online.

Let me know if you have additional questions about managing your credit card transactions in QBO by replying to this post. I'll be willing to lend a hand. Keep safe, and enjoy the rest of the week.

Another option, you may explore a free travel and expense management app to integrate with QBO.
