QuickBooks not correctly calculating sales tax on Square receipts

I've been using QBO for about a year and sales tax calculation from my Square transactions has always "just worked." But this month when I tried to file my sales tax report, QBO tells me I have no tax due. If I view the tax liability report for the month (2/1/25 to 2/28/25) not a single transaction from Square has an amount in the "Taxable Amount" column. The tax rate and tax authority name are correct, and I know Square calculated tax correctly (checked in the Square dashboard). 

 

The interesting thing is if I extend my tax report to the previous reporting period (1/1 to 1/31), when everything "just worked", I see a taxable amount and tax collected for each of the receipts. Then suddenly, once it turned to February, taxing seemed to stop. If I drill down to a receipt from February, none of the transactions for that day have the "Tax" checkbox checked. Conversely, all the receipts from January have the check box checked. I suppose I could manually check each transaction from each receipt for the month, but that doesn't seem sustainable. Any ideas?

Further information: Spent over an hour waiting on the phone for Intuit support for them to tell me to check with Square support. They were not helpful either.

 

Looks like it may be a problem with the Square Connector app, at least there's a similar issue reported on the Intuit Developer support site. Timing is very much like what I'm seeing, and the lack of checked boxes in the tax column is the same as my issue.

Since you have already verified that Square calculated the sales tax correctly by checking your Square dashboard and the Sales Tax report in QBO, consider reauthorizing the integrations between the QBO and Square apps to resolve the syncing issue.

 

Here's how:

 

First, undo previously added transactions and follow these steps:

 

  1. Go to Transactions. Then, App transactions.
  2. Select the Reviewed tab.
  3. Select undo only for the transactions where sales tax wasn't imported.

 

Next, disconnect and reconnect the app. Disconnecting and reconnecting the app can reset the configuration, resolve sync issues, and ensure data integrity.

 

Here's how:

  1. Disconnect the app from Transactions.
  2. App Transactions click the Square.
  3. Disconnect Square hit Done.

Alternatively, you can manually place a checkmark for each receipt to correct the sales tax for each transaction.

Thanks for the suggestions, unfortunately I can't undo those transactions because I already tried to disconnect and reconnect the Square app, which was Square's solution to my problem. I was able to disconnect, but now I can't reinstall the Square app. The Connect to Square link is dead, and searching for "Connect to Square in the QBO Find Apps tab returns nothing. If I search for just "Square" I get a result, but it's labeled as Beta and the install doesn't work -- I either get a message that it's not allowed at this time, or I just get a spinning wheel that never progresses.

I appreciate you getting back here in the thread, @dpsm64. There's an update on connecting your Square account with QuickBooks Online (QBO), and I'll drop them down to give you insights while keeping your transactions accurate in the program.

 

Intuit is introducing a new integration with Square called Square Connector by QuickBooks. Please be aware that the previous Connect to Square application has been sunsetted and that you can no longer transfer or sync transactions from one program to another. Although the new application is currently in Beta, our engineers are making continuous improvements, and you can participate in the future to experience the latest Square Connector app.

 

Instead of using the automated Sales Tax option, you'll want to manually place a checkmark on your monthly receipts from Square app to correct the sales tax. By doing so, you can ensure the accuracy of the recordings. These are the steps:

 

  1. Access your QuickBooks Online and create your tax codes.
  2. Locate and open the square receipts.
  3. Select the Edit ✎ option.
  4. Check the Tax entry checkbox.
  5. Change the tax amount as needed. You can refer to the records you have in your Square account to ensure you're adding the correct amount.
  6. When you're ready, click Done to save your changes.

@Kurt_M- If I understand you correctly, the solution to my problem is to use the new beta version of Square Connector, which I've already told you I'm unable to install, and then edit each and every receipt manually to reflect whether it's taxable or not.

 

Do I have that correct? I hope I'm wrong, because that sure doesn't sound like a great solution.

Yes. You're correct @dpsm64. Reinstalling the app will not refresh the transactions from the previous Square app, so you will need to manually adjust the taxable in QuickBooks Online (QBO) by following the instructions provided by my colleague earlier.
