Can you import project information? Project name and client?

These options are unavailable for now in QuickBooks Online @ChrisSA.

 

The best option is to manually set up the project information in the system. I can show you the steps on how to do it. Here's how:

 

  1. Go to the Projects menu and select New project.
  2. Enter the name of the project in Project name.
  3. Select the customer you’re working for from the Customer drop-down menu.
  4. Add any notes or details about the project..
  5. Select Save.

Once you're done, you'll want to use the project cost and profitability tools to do "job costing".

 

Let me raise this feedback to our developers so they can take a look onto this and see if they can add this feature in the future.

I know how to set them up manually.  I'm hoping there is a way to upload them.  The process to set them up (we have ~100 new projects per month) is time consuming.  Because there are only 2 pieces of data needed for a new project, I'm hoping qbo will make this something that can be uploaded.

At this time, the option to import a project with multiple customers is unavailable in QuickBooks Online. I'll take note of your suggestion so we can consider it for future enhancement.

If you manage numerous projects, consider using a project management app and sync it with your QBO. We may also find a PM app for certain industry (e.q construction, software developer, agency).

Currently, we don’t have the ability to import the project list or project information. As a workaround, you can import the list as Sub-Customers.

 

Then once all are imported and assigned to the correct parent Customer. You can use the feature "Convert from Sub-customer" on the Project page. Here’ how:

 

  1. On your left navigation pane, select Project.
  2. Click the drop-down button beside New project.
  3. Click on Convert from the sub-customer.
  4. Put a checkmark on the tick box for those included.
  5. Hit Convert.

You can import the list as customers first, then change them to subs-customer, ChrisSA.


Below are the steps to do this:

 

  1. Click the Gear icon at the top. 
  2. Select Import Data under Tools.
  3. Choose Customers and click browse to locate the file. 
  4. Make sure to map the fields correctly. 
  5. Click Next until completed.   

 

Once imported, you can proceed to converting customers to sub-customer. Here's how:

 

  1. Go to Sales from the left menu and select Customers. 
  2. From the list, select and open the customer involved, then click Edit. 
  3. Check the box for Is sub-customer then enter the parent customer. 
  4. Click Save.

Thank you for this.  It's an intriguing work-around but the number of steps to do this are more than just entering the project itself.  

 

It seems like it would be an easy change for qbo to make to allow us to import project details as there are only two pieces of information.

Currently, the feature to import projects is unavailable. For now, you can manually set up the project information in the system by following these steps:

As mentioned, while QuickBooks Online (QBO) doesn't currently support the direct import of project names and client information, utilizing a third-party application is indeed a viable alternative. You can explore the Apps menu within QBO to search for suitable integrations that meet your needs.

As we can't suggest a specific third-party, you can search for keywords like Project or other relevant terms in the search box. QuickBooks will filter the results to show you third-party apps that align with your requirements.

Here’s how to get started:
 

  1. Go to Apps and select Find Apps.
  2. Search for a keyword in the search bar and press Enter.
  3. Select an app and click Get app now to integrate.
