How can I use our company file in the test environment so that we can practice and train our team on our needs before we let them into our books? I would like to use a back up if possible .

Ensuring your team is ready to manage your account is crucial in keeping your books accurate, Earr.

 

The Backup and Restore feature is only available in QuickBooks Online Advanced. We'll have to manually export your data if you're using Simple Start, Essential, or Plus. Then, import them back to the program. The process has limitations when moving your file. Thus, this may or may not maintain the accuracy of your books.

 

Alternatively, you'll want to use a third-party application to save a copy of your file. Here's how:

 

  1. Login to your QuickBooks Online account.
  2. Go to the Apps menu.
  3. Look for an app that suits your needs.

Aside from that, you can also move your file to our QuickBooks Desktop trial version. Then, convert it back to QuickBooks Online after they practice on your data. Though the migration process has some limitations, it can guarantee that your live account isn't affected.

You can convert your data from QB Online to a QB Desktop file and re-convert it again to a new trial QBO account. You will find the data in your primary QBO account is not the same as the trial account due to conversion restrictions but at least your team will be safe to play around with.
