Duplicate Bank Account Created

Went into QB online to reconcile my business checking account and was presented with a message saying that an error occurred with my linked Citizens Bank connection - made sense since I saw no new transaction appearing in my Review list after several attempts to force updates.  I went into the Linked Account / Manage Account facility, selected the bank/connection in error, selected the "Fix It" option that was presented and after reestablishing the connection with my bank, QB created a new/duplicate bank account with a slightly different name than my original.

 

Wondering how to best handle this situation...  Do I someone disconnect and remove the new bank account (and they try to fix the connection with my original account that has decades of transaction history I need to retain) or is there a way to merge the two and move forward with creating further issues.

 

No enough about QB to make myself dangerous, but don't consider myself an expert by any stretch.  Would appreciate any help you can provide.  I found one old support link here within the Community who's title and summary was a complete match for my issues, but when I selected it, I was told the content was no longer available.

Thanks for providing us with a detailed explanation of your current situation, @StonehedgeGolf.

 

Before anything else, please know when reconnecting a bank to your QuickBooks Online (QBO), you'll want to do it in the Chart of Accounts to prevent creating a new or similar to your existing bank account. With this method, you can ensure that you're connecting the account to the one you have in your company file.

 

In this situation, you'll want to disconnect the newly created account and reconnect the bank to the existing bank account in your COA. Before doing so, please be aware that in this process, it'll delete transactions that are still in the For Review tab, and if your transactions are 90 days old, you'll no longer be able to get them into the program again. If you're ready, we'll gladly write down the steps to get you going:

 

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Transactions tab.
  3. Choose Bank Transactions.
  4. Locate the bank and then click the Pencil icon.
  5. Click Edit account info.
  6. Select Disconnect this account on save.
  7. Click the Save and Close button.

After disconnecting the duplicate bank account, here's how you can reconnect it to the existing account in your COA page:

 

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Accounting page.
  3. Choose Chart of accounts.
  4. Locate the bank and then click the dropdown arrow beside the View register.
  5. Select Connect bank.
  6. Follow the instructions in your screen to re-establish the connectivity of your bank account.

 

Upon checking here on our end, the option to merge bank accounts is unavailable at the moment, and with that said, the way to get through this would be to edit the transactions manually and relocate them to the correct bank account. How do I delete the duplicated account QB create.

QB added a  - 1, - 2 , - 3 ... and it kept doing it every time I update my account.   

They are the same.  those accounts are trash.  How I remove them?

While you can't directly delete an account in QuickBooks Online, I'm here to show you how to inactivate them.

 

This sometimes happens when account names conflict during the sync process between your bank and QBO. Since these accounts have zero transactions, you can safely inactivate them. Here's how:

 

  1. Go to the Gear icon and select Chart of accounts.
  2. Look for the duplicate bank accounts and click the dropdown button in its ACTION column.
  3. Select Make inactive.
  4. Click Yes, make inactive.

If you update your account again and the duplicate still happens, I recommend contacting our QuickBooks Online live support team. They have the right tools to identify the root cause in the connection between your bank and QBO.

 

Afterwards, you can consider reconciling an account to match them with your bank statement records.
