Thanks for getting back to us, @userimripersiado.

Allow me to provide some clarifications regarding this deposit concern.

As mentioned by my peer MarsStephanieL above, any bank generated transaction can't be modified in the system. This is because the information is coming from your financial institution. It is the reason the text box isn't visible upon editing the deposit.

You only have the option to edit or change the number of your sales transaction in QBO by turning on the Custom transaction numbers option. In this case, you can enter enter the custom number or letter sequence that you want to use for your forms.

To turn it on:

  1. Go to the Gear icon.
  2. Choose Account and Settings
  3. Select Sales, then click anywhere within the Sales form content section.
  4. Enable the Custom transaction numbers option.
  5. Press on Save and then Done.

Once done, you can now create an invoice and enter your desired number:

Utilizing this feature allows you to edit their numbers or titles in QBO anytime you want. To learn more about this process, please see this link: How to change the invoice number on sales forms.

Please let know if you have any other questions or concerns. I'll be right here to assist you. Take care!

Hello there, @userimripersiado.

The option to change the Deposit Reference number on the top is unavailable. The detail Wire comes from the bank feed. It's like a transaction for Wired transfer. If you want to add more details, that will be easily seen when pulling up a report, you can enter it to the Memo box below the line items. Here's how it looks like:

I've added this article for your future task whenever you need to track specific aspects of your business in QuickBooks: Run reports in QuickBooks Online.

Please don't hesitate to let me know in the comment section if you have other questions. I'd be happy to help you through it. Take care and have a wonderful day ahead.

So how it was done previously on my account? I just took over my account and I do not wish to contact the person who worked on it, so that's why I'm coming to you.

It seems like it was manually entered each time but I can't find a way to edit when creating a new bank deposit.

How can I change the Reference # in QB Desktop? I just set up merchant deposits a few weeks ago and not being able to customize the Reference # is a big issue. Thanks!!

Thanks for swinging by in the QuickBooks Community, @HopeForEvergreen.

Currently, we're unable to edit the reference number in QuickBooks Desktop (QBDT) when processing payments using Merchant Services. It is because your financial institution generates the reference number for each deposit, and the program only relies on the information coming from your bank.

While the option to modify the reference number is unavailable, I recommend sharing your valuable insight with our software engineers. Doing so allows them to hear your recommendation and consider incorporating it in our future product upgrades. To do that:

  1. Go to Help and select Send Feedback Online.
  2. Click Product Suggestion.
  3. Enter your feature request and click Send Feedback.

Additionally, it's recommended to run sales reports in QBDT to monitor and track your income. You also can customize the details to focus on the data relevant to your business needs.

Feel free to reach out to us whenever you need further help receiving payments in QBDT. I'll be happy to assist. Take care and have a good one.
