How do stop Quickbooks Online from changing settings without my permission? (subject line of billing notifications, automatic bank/GL matching)

QBO regularly changes the subject line of the invoices I email my clients to "Pay (my business) with a few quick clicks!" It reads like clickbait and it's tacky. No matter how many times I change it back, QBO keeps changing to what I do not want. How do I stop this?

How do stop Quickbooks Online from changing settings without my permission? (subject line of billing notifications, automatic bank/GL matching)

Hello, GeorgeTheCat.

To be sure we're on the same page, let me clarify. Are you modifying the settings in the Messages section of Account and Settings? If so, even after we make changes to the account and setting, the email subject line still displays the same information as this is how QuickBooks work as designed.

To ensure that the changes made when sending the invoice take effect. You'll need to manually edit it every time you'll send an invoice. After clicking on Save and Send when you're about to send the email, you can edit the email subject line to edit the invoice.

If the same thing happens, we can perform some troubleshooting steps. This might be a simple webpage sync issue, so you can refresh the page by pressing the F5 button. Another thing to try is to log out and log back in.

Sometimes QuickBooks Online stops working properly because your browser is overloaded with site data. Open QuickBooks in a private or incognito window to see if the problem is with your browser. This can assist us in eliminating any cache-related problems that may have contributed to the troubles. To open it, press these shortcut keys:

  • Google Chrome: Press CTRL + Shift + N.
  • Safari: Press Command + Shift + N.
  • Mozilla Firefox: Press CTRL + Shift + P

If the steps above work, I suggest clearing your browser's cache to boost browser-related issues. Some stored data on your browser can impact the data being transmitted, thus causing some unusual responses.

In case private browsing doesn't work, I'd recommend using different browsers. They'll provide you with the best and most secure experience with QuickBooks. For more details, please see this article: System Requirements For QuickBooks.

I want to make sure everything is taken care of for you, please let me know how it goes or if you have any other issues or concerns. Take care!

How do stop Quickbooks Online from changing settings without my permission? (subject line of billing notifications, automatic bank/GL matching)

Hi Ailene,

Thank you for your detailed response. The message settings location is where I have to go to change the email subject line back to what I want each time QBO changes it. I will try using an incognito windows for QBO alone to see if that helps. My account automatically logs me out after a period of inactivity. My systems exceed the minimum specs required to use QBO. It will be within the next week and a half that I expect QB to make the change again based on past history. I will send you an update in two weeks. I've marked it on my calendar.

Thanks again,

Andrea
