How to add manually breaks and lunches

An employee entered a timecard (start and end times only) for a total of 6.5 hours. In California, that requires that the employee take a lunch break. Shouldn't I (admin) get an alert advising of this. In our former system, Homebase, we get alerted when an employee failed to take a break, take a lunch, clocked in more than 10 minutes early or clocked out more than 10 minutes late. I can't find these features in Time. Please help.

How to add manually breaks and lunches

Receiving an alert when you employees need to take their breaks, lunch, clocked in more than 10 minutes early or clocked out more than 10 minutes late is a great functionality, funtastic.

 

As of now, this feature is unavailable in QuickBooks Online. As a workaround, I recommend setting up breaks and lunches for your employees. I'll shows you how:

 

  1. In QuickBooks Time, go to Feature Add-ons, then Breaks.
  2. The system automatically includes a lunch break and a rest break as options to use, but they’re turned off. If you need these, turn them on.
  3. If you need to create a new break, select Add Break Rule.
  4. Enter a Name for your break and a short code if you need it. 
  5. Select if you want the break to be an Automatic BreakManual Break, or both. 
  6. Click Save, or continue to set up and assign your break

 

Once done, set up and assign breaks to your employees:

 

  1. From Feature Add-ons, click Breaks.
  2. Select the name of your break to open the Break Rule window.
  3. Set the Length and Type.
  4. Choose the link next to Team Members.
    • To assign it to all team members, select All at the top.
    • If you aren’t ready for team members to have access to the break, you can select None.
    • To assign it to certain team members, select + next to the group name, then check the boxes next to the team members you want to assign it to.
  5. Hit Ok to save the team member assignments.
  6. Set your preferences for the automatic and/or manual breaks.
    • If you’re not sure how each break functions, learn more about automatic and manual break.
    • If you’re using automatic breaks, set the shift length you want the system to calculate a break for, the days you want it for, and where in the shift you want the system to place the break.
    • If you’re using manual breaks, select any requirements or settings you need.

Regarding clocking in and out, you can send send notifications to your employees to remind their schedule. Here's how:

 

  1. Go to the Company Settings menu and then select Notifications.
  2. Set up the time to send the reminder.
  3. Make to check the options that applies on the notifications.
  4. Once done, click Save.

 

I also suggest sending a feedback to add an alert feature. This helps them take it into consideration when prioritizing feature development.

Our employees are carpenters who move around to different job sites throughout the day, so they have lunches at different times. They are using labor classes for their work, so could I create an unpaid "Lunch" class so they can choose that when filling out timecards?
