I need to create a positive pay file for the bank

@rickd1011

RE: I work for a Bank in Treasury Services. We are actively promoting Positive Pay to all of our business banking customers to minimize check fraud.

and I have been dealing with the issue of trying to export check register reports from both Quicken and QuickBooks for Positive Pay for several years and it always either requires custom programming or an expensive third party software or consulting engagement for our customers.

I'll suggest our PoaitivePay apps again. They're inexpensive & they work with QuickBooks, both Online and Desktop, and also with Excel (no accounting software needed) which can work with Quicken reports, exported to Excel.

Here are links to each product:

BRC PositivePay file Creator - QB Desktop

BRC PositivePay file Creator - QB Online

BRC PositivePay file Creator – Excel

If your bank isn't listed, drop us a support request to add it. We can usually add a new bank within a week.

I need to create a positive pay file for the bank

Hi susiecpa,

Creating a positive pay for the bank would be a great option. As a workaround, you can head over to QuickBooks Desktop Apps. The page will give you a full list of Third Party Applications for the positive pay file.

You can also let our product managers know about this suggestion, so they can apply it on our next release. Just click the Help menu and select Send Feedback Online.

All feedback goes to them and everything we update in QuickBooks is based on that information.

Feel free to visit the Community at any time you have other questions or concerns. Thanks.

We used VBA code in Excel to create the NACHA compliant positive pay file. Runs fast. No apps. No monthly fees.  <a rel="nofollow" target="_blank" href="https://youtu.be/OlxESWuubcU">https://youtu.be/OlxESWuubcU</a> is a video of how it works.   Protects the client and GREATLY reduces manual data manipulation and errors.  You can give us a call if you don't feel like writing it yourself!  <a rel="nofollow" target="_blank" href="http://www.turnkeyoffice.net">www.turnkeyoffice.net</a>

To create positive pay file directly from your QuickBooks company and with no additional data entry, use our BRC PositivePay file Creator app, which will pull data directly from your QB bank account and create positive pay files for ~50 banks.  If your bank is not listed, let us know and we can probably add it.

For QB Online, use our BRC PositivePay file Creator - QB Online

I need to create a positive pay file for the bank

Can anyone send the steps to create a positive pay payee file using QuickBooks Enterprise?

Thanks for joining in the thread, @Lucym18.

Let me share some information about creating a positive pay file. At this time, this feature isn't available in QuickBooks Enterprise. As mentioned by my colleague above this thread, you'll have to visit our QuickBooks Desktop Apps to check for a third-party application.

Additionally, our Community Backers can recommend and assist you on how to create this using a third-party app.

If you need anything else, do let me know. I'll be around to help. Have a nice day!

Is this feature available now - almost 2 years later?

With check fraud at an all time high, banks will soon be forcing companies to do this.... we are right at the edge of that cliff...

Hi @paulcwhite2,

Thank you for joining the thread. I'll answer this query for you.

At this time, what I can suggest is for you to look at our QuickBooks Desktop Apps page to search for a third-party application that does this for you. The option to create a positive pay file in QuickBooks Desktop (QBDT) is unavailable at this time.

In case you need to edit your reports to show specific information, take a look at this article: Customize reports in QuickBooks Desktop

To be able to access these custom reports in the future, you can save them in QBDT. See this article for the steps: Create, access, and modify memorized reports

Let me know if you have other questions about your QBDT company, and I'll get back to you as soon as I can.

You KNOW this is an issue ... You KNOW your customers are asking about it.  Why not get it set up.  Positive pay is decades-old technology.  It's older than quickbooks, so why ignore the need?

Totally agree.  It is BEYOND absurd that QB does not provide any solution to this.  I am the Controller for a GC and the only person in the finance department - I am solely responsible for positive pay and being unable to upload a bank report makes me hate QB more with each passing day.

I work for a Bank in Treasury Services. We are actively promoting Positive Pay to all of our business banking customers to minimize check fraud. Through our Banking Software we are charged over $3000/month for Quicken and QuickBooks Direct Connect usage with no support from either party. The bank is on its own.

I have been dealing with the issue of trying to export check register reports from both Quicken and QuickBooks for Positive Pay for several years and it always either requires custom programming or an expensive third party software or consulting engagement for our customers.

Intuit should include Positive Pay support in its integration services for Direct Connect to all financial institutions that support Positive Pay. We pay significant integration fees and monthly usage fees totaling thousands of dollars which we do not charge customers for in using Intuit Products!

This software does not help if your vendor name is different from the payee name on the check.  For example, we deal with clients who sometimes have client reps, so both names have to be in the vendor name for future reference but the check is only made payable to one name.  Quickbooks does not currently support the ability to include the payee in any reports, even custom reports, nor does this software export the payee name either (just the vendor name).

Quickbooks - add the payee to the report filter for the Check Detail report and this will solve everyone's positive pay reporting headaches!

I hear your sentiments, @Nolabrewer

I understand how the ability to include the payee in the customization settings of any report is beneficial to you and your business. Unfortunately, this feature is currently unavailable in QuickBooks Desktop (QBDT) Enterprise.

In the meantime, I recommend sharing this brilliant input with our software engineers. This way, they'll be able to consider your suggestion and include this in our future product updates.

To do that:

  1. Go to the Help menu and select Send Feedback Online.
  2. Click Product Suggestions.
  3. Choose a Type of Feedback and Product Area (optional).
  4. Enter your suggestion in the Here is my suggestion field, and select Send Feedback.

If you want the same customization settings to be available for future use, we can memorize reports in QBDT. This way, we don't have to go through the process of customizing the filters again. Moreover, we can also export reports out of QBDT and analyze them in Excel.

Feel free to return to this thread if you need further assistance with positive pay reporting. We'll always be around to help you. Take care.

You can utilize an exporter tool to get the following template

I have transaction pro and have asked them about something that would produce a positive pay report, which they said they did not currently have.

Your screenshot appears to be a Vendor details export.  Can you export a report that includes the 'print name on check' (payee), the check/expense/bill pay #, check date and amount?

So yes, that report would work for anyone who just issues checks.  Unfortunately, we also have to utilize Bill/Bill Payments as another check issuing payment method and the Transaction Pro export for Bill Payments does not capture the PrintOnCheckName (payee), so this option would only capture some of our checks.

If anyone out there just uses the Check payment option in QBO for issuing checks than this would be a good Positive Pay export solution for them.

I am so shocked that Quickbooks has not set up positive pay files as a standard report.  They are recommending 3rd Party vendors?  Who-ever said bank fraud is at an all time high is not wrong.  Our account just got compromised and now I have to set up a positive pay file for the bank and have no clue on custom reporting.  Anyone let me know how best to do this on a daily basis?  Not much information required really but I am shocked QB has nothing in place.
