I need to edit some transactions that have already been reconciled. How do I do this without undoing the reconcilation?

Hi,

I only changed the memo text and it threw my bank balance off. See blow. How do I fix this?

Hey there, @Userke

Thanks for chiming in on this thread. Let me point you in the right direction to get this handled.

The best route would be to contact our Customer Support Team so that we can review your account with you to see why this is happening. Here's how:

  1. Go to the Help icon in the top right-hand corner.
  2. Hit the Contact Us button/hyperlink.
  3. Enter your question and click Let's talk
  4. Scroll down and choose to Get a callback

It's that easy!

Keep us updated on how the call goes. I'm only a post away if you need me. Have a splendid day!

Yeah. they did. The first guy did not even understand any of it. The supervisor understood and looked at it, but couldn't find anything. They opened an investigation. I'm so tired of this software. It is full of bugs and errors. Impossible to use.

Let me clear things out for you on changing a reconciled account, Usman3.

As previously stated by my colleague, changing the category type won't affect your reconciliation. You'll only have an issue once you modify the amount.

You can consider opening the Audit Log report to check what happened to the account. It gives you a clearer picture of your transaction history.

Before we proceed, make sure you have admin rights or the access level is set to All (Standard). This is to ensure you have permission to view the activity log.

To open the report:

  1. Go to the Gear icon at the top of your company to choose Audit Log.
  2. Click on the User drop-down and set it to All Users or select your client's name.
  3. Input the date you want to view the report.
  4. In the Events section, select the All Events button.
  5. From the list, look for the transactions you're working on.
  6. Head to the History column and click the View link to see more details.

For more insights into this built-in feature, see the following article. It includes a video for visual reference: Use the audit log in QuickBooks Online.

This link provides a list of topics that will help you through banking-related activities such as making deposits, troubleshooting banking issues, and fixing reconciliation discrepancies: Find help with bank feeds and reconciling accounts.

Keep me posted if you need further information about reconciling an account or have other QuickBooks concerns. I'd be delighted to answer them for you.

Can I go back to the "excluded" transactions, undo them then match them to transactions that have already been reconciled without it changing anything?

Hello there, MoparVirgo. Let me assist you on how to handle your transaction in QuickBooks Online.

You can undo excluded transactions from the "Exclude" tab, if you want to match them with reconciled transactions, you'll have to undo them within the Bank Register.

Here's how:

  1. Navigate to Accounting > Chart of Accounts.
  2. Click the View Register link for the bank account.
  3. Filter the funnel by Reconcile StatusTransaction TypePayee, and Date.
  4. Click the Apply button.
  5. Locate the transaction and look for the letter C in the Reconcile Status (indicated by a checkmark) column. This word means Reconciled.
  6. If necessary, edit the transaction and then click Save.

Before doing so, it is better to refer to your bank statement since this process allows you to reconcile them properly without impacting your previous and future reconciliation status.

Just in case you're having issues with your reconciliation, you can check out the instructions under the Fix issues during a reconciliation in the QuickBooks Online article reference in fixing the errors.

Keep me informed if you have other matters about deleting and reconciling transactions in the bank register. I'll look forward to your response. Stay safe and well!

I need to edit some transactions that have already been reconciled. How do I do this without undoing the reconcilation?

I have some false payments that were imported into my QBO that need to be deleted.  We are an automotive repair.  If we void a payment or refund a payment in our automotive software, it imports into QBO as a payment instead of a void or refund. Our bookkeepers did not catch this problem.  They have reconciled our books and now I have over $100,000 in false payments which reflect as credits on my customers accounts in QBO. When I try delete them in my customers profile it says:

This transaction has been deposited.  If I want to change or delete it I must edit the deposit it is on and remove it first.  When I go to the deposit in the bank register it matches by bank statement.  There are usually multiple customer payments in a single bank deposit.  My unapplied cash payment income needs to be cleaned up and is mostly false payments but I don't know how to do it.  My bookkeepers that I have now fired say its no big deal to just run my reports is accrual and it will go away.  We are a cash-based company and file taxes as Cash.  Help!
