I'm here to provide insight about changing recurring transactions after they become invoices in QuickBooks Online, @info2009.

 

If you change the transactions that are already created in the recurring template, it will only affect future transactions. For the transactions that have been created, you need to manually edit them. 

 

Here's how:

 

  1.  Access your QuickBooks Online account and select Sales from the menu on the left.
  2.  Navigate to the Invoice section and choose the transaction you wish to modify.
  3.  Click on Edit Invoice.
  4.  After making the necessary changes, select Save and Close.

Thanks for the reply but that doesn't answer my question.  For years, I've been using recurring transactions.  After an invoice was created from a recurring transaction, if I changed that invoice, when Saving it, QB would ask if I wanted to update the recurring transaction as well.  If I said Yes, the recurring transaction would automatically update and the next time it ran, it would have the updated values.  About 2 -3 months ago, QB stopped asking if I wanted to update the recurring transaction.  Now, if I change an invoice that was created from a recurring transaction, I need to go to that recurring transaction and modify it myself.  It has doubled the amount of time it takes to do billing.

I see the convenience of updating the data when you edit the transaction created from the recurring template, info2009. The pop-up is still available, so I'll share some troubleshooting steps.

 

Let's start by accessing your QuickBooks account via incognito or private window. This mode doesn't retain cache, so we can verify if it is a webpage issue. Here are the keyboard shortcuts you can use:

 

  • For Firefox, press Ctrl + Shift + P
  • For Chrome, press Ctrl + Shift + N
  • For Safari, hold down Command + Shift + N

 

From there, sign in to your QuickBooks account and look for transactions with a recurring icon. Once located, Edit it to see if the Update the recurring template prompt appears. If it works, I recommend clearing the default browser's cache or using other supported browsers to isolate this issue.

However, the pop-up message is not available in the new experience. If you're using the Plus version, you can switch back to the Old layout and update the transactions from there.

I used this same feature as we have hundreds of inventory items.  This is terrible if I am unable to use this function anymore because we do NOT have access to the OLD version anymore. 

 

Apparently, we have now work for quickbooks and it doesn't work for us.  All these changes after a supposed quickbooks upgrade, it just keeps leaving us Customers in a lurch to resolve and scramble for resolve.  For example, the recent change the invoice format.   Our company does not detail inventory part # (product/service) on invoices but after the 'upgrade' it displayed/included the product/service on OUR invoices, so I had to scramble to figure out a work around.  Now this?  

 

I just tested this out and it does not work incognito. How am I going to fix this so when invoice is updated it will ask to update the recurring?

I can imagine that this change has likely disrupted your workflows, mdaley.

 

We appreciate your input and recognize how important it is to save time with automatically updated recurring transactions when an invoice is modified.

 

I recommend sending feedback directly to our development team. They might consider restoring the functionality when planning future updates and enhancements to QuickBooks to meet your business needs.

 

Here's how:

 

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions. Then select Next to submit feedback.

 

In the meantime, you can go to the recurring transaction and modify it as a workaround.

GlinetteC Thank you for your reply - I do appreciate it but not the resolve.  

In a nutshell, submit with fruitless hope a request (needle in a haystack request) for development to check off the box & in the meantime, go from updating approximately 100 items per month which will double to 200 times per month.  Sounds fantastic, it only costs the paying customer a precious resource of time, but more importantly, it will significantly increase the odds of error.

 

Can we get a monthly credit (hours times rate) from Quickbooks for the additional time it will now take us to process each month?   I can set up a recurring invoice to quickbooks.

Not only that, but they deleted the "CUSTOMIZE" option in recurring transactions. Now, there is no option to change to a different invoice template.

 

Very frustrating

No it should be you sending the message to the development team. Just sticking more work on the customers you screwed.
