QB not finding transactions to match with banking when they are in QB

I appreciate the things you've performed to fix those unmatched transactions QuickBooks Online. One of the possibilities that caused these transactions to show as Reconciled or Cleared is you've selected Resolve Difference during the reconciliation process.

 

Since you've already executed the troubleshooting steps, I'd suggest contacting our live agent. They have the tools to perform a screen sharing session and check further how to finish the reconciliation process.

Thanks so much, that's what I'll do. For the record, I have never clicked "resolve difference". I know this for sure because I don't click buttons in accounting programs when I don't know what they do and I have never even noticed that choice ;) Have a great rest of your Sunday!

Thank you! This 100% solved my problem. I was trying to figure out where the match was all day yesterday and I could see the journal entry but it was not populating in my match options. Problem solved! Thanks again!

Hi David! 

I am hoping you could help me out. 

 

I have a check that was logged as an expense. Its in my bank register. But when I try to match it under banking transactions it is not letting me because it is not finding the transaction. What do I do in this case?

Allow me to join this thread and share some insights on how you can match expense transactions with the online banking entries.

 

Here are some things you need to check when finding a match:

 

  • Make sure the register you are finding a match is where the expense is saved.
  • Note the date of the transactions matches.
  • The description and the payee, and amount spent must also be the same.

 

See this screenshot as an example:

Hello David,

I’m having a similar issue, A cheque processed and printed in August was recently cashed. In the bank feed I’ve selected the transaction and clicked find a match, however I was unable to find the corresponding cheque. I can confirm it the transaction has been reconciled but hasn’t been matched to any other transaction. What are the next steps I need to take in order to match this transaction with the corresponding cheque.

I can provide the next so you match the cheque, Pentavere.

 

You need to clear the reconciled transaction on your register so you can match it with the one on your banking page. After matching them, go back to the register and manually reconcile the entry.

 

Let me show you how:

 

  1. Go to Accounting from the left menu, then Chart of Accounts.
  2. Open the bank where you post the transaction by selecting View register under Action.
  3. Locate the transactions and click it to expand.
  4. Manually click the check column until you see an R.

In case you see a message about an incorrect beginning balance when you start, here are other things you can review.

 

Upon sharing this solution, I still suggest consulting with your account. Any changes to your book from August will affect your bank balance. They can provide instructions on how to handle the cheque that was recently cached.

I've read your first post above, and I can see that you've tried following the recommendation shared by my colleague. I'd like to provide additional details about matching transactions from the Banking page.
 

The bank data will try to find a match with any transactions that were manually entered in QBO.  As long as you've manually created a transaction already, you should be able to follow the suggestions above.

 

Since you're still unable to match the transaction, I'd recommend giving our specialist a short call to further investigate this one. They'll look into your account and see what's causing this behavior. Here's how:

 

  1.  Within your QBO account, go to Help. Then, enter s brief description of your concern.
  2. Click Talk to a human. Then, I still need a human.
  3. Then, select Get a callback.

A few months ago my "matching" quit working. I now have "error getting matching info" under my Paypal banking tab under the catergorized column.

Can you walk me through the steps to handle donations received thru paypal and why I am having such a problem?

I see you want to match PayPal transactions on your account, @Pollyvdz. I've got some information and tips to share with you about the issue.

 

There's currently an ongoing investigation regarding the "Error Getting Matching Info" error message when matching PayPal transactions in QuickBooks Online. I recommend getting in touch with our Customer Care support to notify them about your experience and add the account to the list of affected users. 

 

Moreover, you'll receive an email notification from us about the progress of the case.

 

In the meantime, you can manually add the transactions into QBO. I'll walk you through how:

 

  1. Open the Bookkeeping menu then select Transactions then go to Bank transactions.
  2. Choose the blue tile for the account you want to upload the transactions into.
  3. Click on the Link account dropdown and then hit Upload from file.
  4. Click on Drag and drop or select files and pick the file you downloaded from your bank. Then hit Continue.
  5. Go to the QuickBooks account ▼ dropdown, and choose the account you want to upload the transactions into. Then hit Continue.
  6. Go through the onscreen steps to match the columns on the file with the right fields in QuickBooks. Then hit Continue.
  7. Choose the transactions you would like to import. Then hit Continue.
  8. Click on Yes.
  9. Once transactions are accepted, hit Done.

 

Once done, you can already categorize and match the transactions.

If you're encountering the same case, let's open your QuickBooks account in a private window to rule out browser-related issues. Here are the keyboard shortcuts:

 

  • Google Chrome and Microsoft Edge: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

 

If you could match the PayPal transactions and the error did not show up, return to your regular browser and clear your cache. Occasionally, the accumulated cache and cookies in the system can become outdated or corrupted, leading to unexpected behaviors. You can also switch to other installed supported browsers, which is a good alternative.

 

On the other hand, if the issue persists after taking all troubleshooting steps, I recommend contacting our QuickBooks support team for further assistance. They can refer this to our engineering department for a more in-depth resolution if necessary. 

 

To reach our support team:

 

  1. In your QuickBooks Online account, go to the Help menu.
  2. Hover to the Search tab, then click Contact Us.
  3. Type in a short description of your issue and concern in the box provided.
  4. Click Continue.
  5. Select the Chat or Callback option.

 

You can contact us from Mondays to Fridays, 6 AM to 6 PM PT. 

Meanwhile, if you did not encounter any errors, but the transactions are not appearing, these are the following reasons:

 

  • The amounts or dates of the transactions do not match. 
  • The transaction is older than 6 months.
  • The bank account on the payment isn't the same as the bank where the match is located.
  • The payment has already been reconciled.
  • The record is already matched to another transaction. 
  • The transactions involve multiple currencies, and the exchange rate has shifted significantly, making the amounts very different.

categorizing and ensuring all transactions are matched, you can start reconciling your QuickBooks account. It will ensure that all financial records are accurate and discrepancies are resolved promptly.

Had a number of people that paid with paypal even though I keep shutting it off, the names in the transactions of quickbooks merchant services are gone. What long, tedious steps do I have to follow to correct this issue?

Let's resolve the problem you're having with viewing the names who paid you with PayPal, @djzap1.

 

This issue could be caused by an accumulation of cached data in your browser, which can lead to problems with your account. To resolve this issue, I suggest that you sign in to your QuickBooks Online (QBO) account using a private browser. This will help to isolate the issue as private browsing mode does not store any data in the cache. 

 

You can use the following keyboard shortcuts to open a private browser or an incognito window:

 

  • Safari: Command + Shift + N
  • Mozilla Firefox: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N
  • Microsoft Edge: CTRL + Shift + N

 

If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. You can also try to check with other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above don't work.

In my experience, there are times that the transactions do not show because the deposit is less than the transaction I am looking for. I am certain this is a QuickBooks "intuitive" process and based on amount, elects not to show in my "find other matches". This is very frustrating, however, in these instances my only resolve is to exclude and manually mark as cleared.
