reconciliation

I have a primary credit card account and 2 secondary CC accounts that get paid from the primary account.  How do I reconcile the secondary accounts when the charges all show the primary account to be paid.

So the credit card bank statement for the primary has all the charges on it yet in Quickbooks I have the secondary accounts with charges and the primary account's charges

Primary Account CC -      charges for all 3 accounts in QB, but only the primary accounts shows charges on the cc bank statement.

What can I do to reconcile all 3 accounts

You only need to reconcile the parent/primary account, arwells57.

Simply reconcile the primary account since all transactions in the other accounts (subaccounts) are rolled up into it if you have a credit card account with multiple cards associated to it.

Here's how:

  1. Go to the Gear or Settings icon, then select Reconcile.
  2. If you're reconciling for the first time, select Get started to continue.
  3. From the Account ▼ dropdown, select the credit card main account you want to reconcile. Make sure it's the same one on your statement.
  4. Review the Beginning balance. Ensure the beginning balance in QuickBooks matches the one on your statement.
  5. Enter the Ending balance and Ending date on your statement.
  6. If you see it, review the Last statement ending date. This is the end date of your last reconciliation. Your current bank statement should start the day after.
  7. Once you're ready, hit Start reconciling.

reconciliation

But the person helping my son set up the accounts didn't realize that certain credit card accounts were sub-accounts of a primary.  Can I create one of the accounts as primary and designate the other 2 accounts as secondary even thought they aren't set up like that currently and will all charges show up in the primary?

The accounts reconcile but not in the right way.  Each shows that the other is off the amount of the other account.

Hi @arwells57,

Thank you for posting here in the Community space. I'm here to clarify things about the chart of accounts in QuickBooks Online.

Yes, it's possible to convert the other two accounts as sub-accounts of the chosen primary credit card. You can do this by editing these accounts and changing the details.

Here's how:

  1. Click the Gear icon in the upper-right corner.
  2. Select Switch to Business view (only if you're in Accountant view).
  3. Press the Gear icon again, then click Chart of accounts.
  4. Look for the account you want to convert to a sub-account.
  5. Click the drop-down arrow under the Action column.
  6. Hit Edit.
  7. Put a checkmark on the Is-sub-account box.
  8. Select the parent account.
  9. Hit Save and close.
  10. Repeat the same steps for the other accounts, then view your chart of accounts.

After following the steps, your secondary accounts should show under the primary, like the screenshot above.

The chart of accounts lists all the accounts that QuickBooks uses to track your financial information. I've attached an article you can use to learn more about it and how to set them up correctly in QuickBooks: Learn about the chart of accounts in QuickBooks Online.
