Using bank feeds and matching transactions in desktop

Using bank feeds and matching on Pro 2022 Desktop version:

 

More than half of the bills I enter into QB, I cannot match to existing transactions in bank feeds.  If I delete the bill and repay it, then it shows up.  I have one today that still isn't showing up even after doing that.  It seems pointless to enter and pay bills if they won't automatically match in my bank feeds and I have to remove them and do it over when they come in.  What am I doing wrong (nothing I presume) or how can I prevent this from happening and just have them show when I am trying to match? (I have checked "show all")

 

Also, how do I get rid of old transactions in the match to existing transactions? There is stuff from 2022 that has already been cleared.

I appreciate you taking the time to delete and re-create the bill just to make sure they match. Let me share some insights into why the transactions in QuickBooks don’t match the ones in the bank feeds. 

 

This can happen when the entry in QuickBooks if:

 

  • The financial institution made a mistake and the transaction in the statement is wrong.
  • The transaction in QuickBooks has a different transaction number, amount, date, or name.

 

To fix this, find the transaction in QuickBooks and make edits based on your bank records. Doing this will change the status of the downloaded transaction to Matched.

 

You also want to make sure transactions aren’t matched to another downloaded transaction or have been reconciled. Here’s what to do if QuickBooks can't find a match section in the following article: Add and match Bank Feed transactions in QuickBooks Desktop.

Hi and thank you for your reply.  Unfortunately, this doesn't make any sense to me.  I have memorized transactions and enter them monthly.  Sometimes they show up and sometimes they don't.  Or old ones show up but not new ones.  I am so frustrated with QB.  It's just happened again as I am trying to match my bank feeds.  I don't understand what I am supposed to go back and correct in my bill and payment I entered into QB to make it match to what the bank record says.  And the transactions definitely haven't been reconciled or matched to another transaction because they are brand new in my bank feed.  So I still don't understand what is happening or how to fix it and just continue to be frustrated.  It happens with almost every single transaction every single time I try to match them.  I can't be that stupid.

Hello there, @BLDB. I want to ensure you'll be able to match your bank transactions in QuickBooks Desktop (QBDT) seamlessly.

 

To start, let's make sure you're that your QBDT program is updated to the latest release. Once done, attempt to match the transactions again.

 

If the same issue persists, let's check your memorized transaction and verify that it has the same details as the one you need to match in the bank feeds. If verified, that the transaction exists, and still unable to see them when performing the matching process, you can recreate and delete the entry. Might be that they are damaged or corrupted. Then, match it again. 

 

Before doing the steps, I highly recommend creating a backup copy of your file. This is to ensure you have the original data you can restore at any time in case of data loss or damage.

It can be frustrating when bank feeds don't automatically match transactions in QuickBooks Desktop. Here are some suggestions for resolving the issue:

Check if the transaction dates match: Ensure that the transaction dates in QuickBooks match the dates on the bank statement. If the dates are off, the transactions will not match automatically.

Verify that the accounts match: Ensure that the accounts in QuickBooks match the bank accounts. If the accounts are different, the transactions will not match automatically.

Check for duplicates: Double-check to see if there are any duplicate transactions in QuickBooks. If there are, delete one of the duplicates and try matching the remaining transaction.

Manually match transactions: If automatic matching isn't working, try manually matching transactions by clicking on the "Match" button and selecting the transaction to match.

Regarding old transactions, you can use the "Cleanup Transactions" tool in QuickBooks Desktop to remove transactions that are older than a certain date or that have already been cleared. To do this, go to the "File" menu and select "Utilities," then "Cleanup Company Data." From there, you can select the type of transactions you want to remove and the date range. Just make sure to back up your company file before using this tool.

Matching transactions in QuickBooks guarantees that the entries have been resolved or approved by your bank. When the transactions' status displays a checkmark in your bank's register, it signifies that the entries have been recorded, verified, cleared, reconciled, and are included in your financial institution's statement.

 

As a result, you can no longer use the match option. This is because the entries have already been reconciled and finalized based on your bank's statement.
