What happened to selecting my clearing accounts under " ," Bank Deposits, Accounts? The option to attribute payment to them disappeared this month. Help!

We have multiple methods of payment for different services. A previous accountant set up clearing accounts to better identify discrepancies, and all payments go to our one checking account, earmarked automatically into clearing accounts. When I tally total sales at the end of the month, I create an invoice, mark "paid" to undeposited funds (because they've been paid and are sitting in clearing accounts), I go to " ," Bank Deposit, Account - find the clearing account (NOW GONE!!!), select the invoice, I attribute the credit card/paypal fees by "adding funds to this deposit" in a negative number and label an account, and "cash goes back to" undeposited funds. Now, clearing accounts options are gone, but I still see them in chart of accounts as "other current assets," as they've always been labeled.

Let's perform some troubleshooting solutions to get this sorted out, natandbk1.

 

I appreciate us for providing us with in-depth details of your concern. I've tried replicating this one on my end and I was able to select the clearing account when making a deposit. Let's make sure the clearing account status is active on the Chart of Accounts page. Here's how:

  1. Go to Accounting on the left menu.
  2. Choose Chart of Accounts.
  3. Enter clearing account on the search field.
  4. Make sure the status is Active in the Action column. 

 

. Then, make a bank deposit in QuickBooks again. Let me show you how:

  1. Click the + New Plus icon. 
  2. Select Bank Deposit.
  3. From the Account dropdown, choose the account you want to put the money into.
  4. Select the checkbox for each transaction you want to combine.
  5. Make sure the total of the selected transactions matches your deposit slip. Use your deposit slip as a reference.
  6. Press Save and close or Save and new.

 

If the same thing happens, try signing in to your QuickBooks Online (QBO) account using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues. Here's how:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

 

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use supported, up-to-date browsers to roll out the possibility of a browser-related issue.

I so hoped one of these would work.  The clearing accounts are active and still didn't show up.  I tried incognito mode and still didn't see them.  I also cleared cache data, etc., and that didn't work either.  No one has been in our account except me.

Since you still weren't able to see the option to select certain accounts to attribute payment to them I recommend reaching out to a member of the QuickBooks Online Support Team. Agents have the necessary tools to take a more in depth look at your account to determine what's causing these options to not appear. Here's how to get in touch with the team:

 

1. Click the Help button in the top right corner.
2. Select Contact Us.
3. Enter Support in the field and choose Let's talk.
4. From here you can select to receive a callback at a time that's convenient for you, or begin a live chat session with an agent.

To update, I called QB help, and after consulting the programming side of the house, it was determined that this was a code change (the ability to now only see Banks when creating a Bank Deposit instead of also seeing clearing accounts) and at this time, I was told it will probably be here to stay.  I'm not pleased with the answer but have found a workaround.  I like to use clearing accounts because it helps funnel sources of income, so I don't want to get rid of them at this time.  But I can transfer the money into our checking account and then do the bank deposit.
