I'll ensure to help with your reconciliation process in QuickBooks Online (QBO), @katherine20.

 

We can't delete the old transactions that you don't want to be included in your reconciliation process. However, we can filter them to not be included in the reconciliation. 

 

Here's how:

 

  1. On the left panel, go to the Transactions.
  2. Select Reconcile.
  3. On the page, filter the dates of the transactions you want to include.

 

On the other hand, if you need to delete the old transactions, I recommend consulting your accountant, for they have the best knowledge regarding this matter.

No, you cannot just delete them.  Those transactions posted to your financial statements which, presumably, were used to file tax returns in previous years.  If they were never reconciled, then the transactions are either duplicates, were entered incorrectly, or are payments/deposits that never cleared the bank.  If you delete them, you will be making changes to closed accounting periods which you don't want to do.  Those unreconciled transactions should be reversed in the current fiscal year.  How to reverse them depends on what type of transactions they are and whether you're on cash or accrual basis.

Search any question in this forum and odds are good the 'expert' doesn't read the original question.  

 

This is a great example.  

 

User A wants to reconcile bank account.  The reconcile screen includes numerous transactions  before the start of the current statement.   User A needs to tab through many pages to navigate to the actual time period in question, just to begin clearing transactions.  

 

Expert 1 says "Just filter the transactions..."

 

That's wonderful EXCEPT if when (not if) User A needs to edit any of the transactions (say a match mis-classified an expense type) using QuickBooks Online,  returning from that edit clears the filter.  That's right.  User A has to re-create the filter every time.  (This seems like a bug, as older versions never behaved that way. But I just report the news).

 

Expert 2 says "Don't delete the transactions because if they were reconciled ...."

 

Earth to Expert 2.  Are you ok? Explain how User A's reconciliation screen is displaying  transactions from previous periods if they were previously reconciled?  Spoiler Alert - they don't.  That's right, these pages of transactions are not reconciled.  

 

But wait - there's more.  Expert 2.  Have you stopped to ask "How can User A start to reconcile the current month is the account is not balance?"  I see the lightbulb.  You've got this one.  The only way you can reconcile a new period is if the previous one was already in balance. So any transaction displayed on the reconcile page ... say it with me - has not been cleared.  Isn't this fun?

 

All of those unreconciled extra transactions... pages of them ... they are not old reconciled lines just showing up for old time's sake.  No, I say. I say no.  They are barbarian data marauders who have no right being there.  (It has to be hundreds to take up multiple screens just to get to the current period, amirite?).   

 

Where were we? Oh yes...

 

User A, realizes it will be  8+ hours to reconcile every month from here until eternity decides to take up competitive day drinking.  The company goes flat on it's face because User A stopped caring about the books.  

 

So if you have a heart in your body, please answer User A. 

  • It's too late to exclude the transactions
  • End users can only delete or void one transaction at a time
  • So provide the only remaining options for User A.  (It's ok to direct them to some one who has *cough* accountant level security *cough* to help.)
