Why is my CC balance showing a discrepancy? I made indirect changes to reconciled transactions only. No changes were made to accounts or amounts. Whisky Tango Foxtrot???

There were some older transactions that were missing a vendor name on most, with others missing reference numbers. While I understand these aren't necessary for accounts coming into balance, they're important for accurate reporting when it comes to vendor management. 

There were only 2 in which the category account was changed, however NOT the expense account from which the transaction actually was paid from. While the names and reference numbers was more for accurate reporting and my OCD, these 2 were specifically at the request of my boss to ensure the balance sheet was accurate. 

After all of this, I'm now showing my beginning balance for this credit card significantly off. I clicked on the "We can help you fix this" link and had to manually write down each of the 70 transactions since there isn't a download option. It shows a "Reconciled Amount", a new "Amount" and the "Difference". There is absolutely NO difference in them despite the "Change Type" being "Amount changed". This is absolutely incorrect. I literally went through each transaction audit trail to verify and every single one had no changes to the paying account, meaning it should still be showing as reconciled to this credit card account. I'll admit I'm a perfectionist but I've also been using Quickbooks for 12 years, online specifically for 4. I've made indirect changes like this plenty of times and this has NEVER happened.

It's my honor to help you out with your reconciled transactions. 

 

When you made changes to reconciled transactions, it may go back to unreconciled. Hence, make your credit card beginning balance off. 

 

Let's verify this by reviewing your reconciliation report to see the discrepancy. 

 

Here's how: 

 

  1. Hover your mouse to the Accounting menu.
  2. Choose Reconcile.
  3. From the upper right hand, click on History by account link.
  4. Click on the bar under action column to view the reconciliation report. 
  5. Select Reconciliation Change Report

 

Then, let's delete and recreate the transactions and make sure to add R on them in your register.

Thank you for your response Katherine. Unfortunately I cannot go beyond step 3 of your suggestions. I'm currently viewing the "History by account" section however do not see any options for Reconciliation Change Report. Only "Print" and View report. 

There is a column that indicates "CHANGES" on this page however the amount of changes literally says "0.00" on it. 

What I did find was this. After attempting to review each of these transactions on the register, I see that there are 4 system generated journal entries on this card due to them being deactivated. So this answers the question of the "what".

 

Here's the new issue:

 

My predecessors set up sub accounts for our main credit card account, one sub account for each individual credit card per employee. While this isn't necessarily the way I would have gone since the reconciliations will only reflect on the main account, the sub accounts do not affect the balance sheets in anyway so we've made it work. 

For the sake of simplifying things and maintaining accuracy, a handful of the older credit cards (either expired or employee no longer employed) were deactivated. 

 

  1. If I re-activate these subaccounts, will this resolve this discrepancy?
  2. What alternatives to I have as opposed to deleting these credit card subaccounts as they're no longer active?

 

Please let me know as soon as possible. I'm still waiting on an email or call from someone about this. If you could help me sooner, that would be appreciated.
