Microsoft Access to Quickbooks

Is it possible to link or export/import from MS Access to Quickbooks?

I would like to link employee time kept in MS Access to time sheets in QB desktop. Is this possible?

Thanks!

Hey there, @RFreund9

Welcome to the Community! I'd be more than happy to share some details about importing data into your QuickBooks Desktop account.

Here's s few ways you can import and export data within QuickBooks Desktop:

  • With MS Excel
  • Using CSV files
  • Import and export invoice and other form templates
  • Import and export IIFs
  • Import bank transactions with Web Connect files
  • Send journal entries back and forth with your accountant
  • Export your file for your accountant and import accountant changes
  • Import batch transactions from your accountant

Review this guide for additional information: Import and Export data

Feel free to reach back out if you have any other questions. Take care!

You can use TP Importer. It's a $199 one time license and you can get $100 cashback to purchase it via a partner.

How specifically can we transfer a database from Access to Quickbooks? I have a program have been using for invoices. It has the Job details, customer details, labor form, material form, and  Job invoice form.

I bet its not too difficult to go to Excel or Word then to Quickbooks? I have been looking to transition for awhile This is a home renovation and repairs business mostly. I was setup for the monthly invoicing at Quick books. An office help said i would have to input data individually then couldnt do it. I think should be a data transfer maybe? Thank you for the help Aloha,

It looks like what I need is an ODBC driver as explained here:
How to install and set up the QuickBooks Enterprise ODBC Driver

Can you help me understand what level of subscription (we have quickbooks desktop) I need and the costs involved? Is the ODBC driver supplied by quickbooks or is it 3rd party?

Thanks!

Thanks for joining the discussion, Nima and RFreund. I’ve carefully reviewed your specific situations and prepared tailored solutions to help expedite the resolution process for both of you.

@nima:

QuickBooks Desktop allows importing customer lists and some transactions from Excel, however, it does not natively support importing more complex data such as jobs linked to each client or detailed invoices directly from Excel without proper formatting. The default import templates do not include all your fields like job details or labor forms.

To efficiently manage complex data such as jobs, invoices, labor, and materials, I recommend exploring third-party applications available in the QuickBooks App Store. You can easily find an app that allows you to accurately map your Excel data to the corresponding fields in QuickBooks by navigating to the CATEGORIES section.

I've included a screenshot for reference:

Before selecting an app, be sure to review the Reviews section to gain insights from other users’ experiences, helping you choose a reliable solution that fits your needs.

@Rfreund:

The ODBC driver for QuickBooks Desktop is not supplied directly by Intuit but is provided by third-party vendors such as FLEXquarters (QODBC) and Devart. Intuit offers a read-only QODBC driver for QuickBooks Desktop Enterprise users via FLEXquarters, but if you use QuickBooks Pro or Premier, you will need to purchase the driver separately from third-party providers.

Regarding your subscription level, you do not need to upgrade your QuickBooks Desktop subscription to use the ODBC driver. The driver works with existing QuickBooks Desktop Pro, Premier, or Enterprise versions. However, the Enterprise version offers easier access to the driver via the Utilities menu.

For more detailed information about the Open Database Connectivity (ODBC) driver and how it works in QuickBooks Desktop, check out this helpful article: Open Database Connectivity (ODBC) driver and how it works in QuickBooks Desktop.

Do you need to convert data from Access to QQB, or just mirror the data?

Only QB Desktop Enterprise supports ODBC driver natively. You can purchase Silver edition as the lowest plan and you can also purchase a new license thru a partner to get perpetual renewal discounts.
