Project Cost Estimate to Bill

We are using QuickBooks Online Advanced. We resell products and create a project cost estimate including the Product/Service item, Description, Quantity, Your Cost and Customer Price, Billable, Class. Sometimes there are 20 or more line items on the cost estimate.

  • We can create a customer invoice from the cost estimate which pulls over the items and customer cost to the invoice.
  • We can "Copy to Purchase Order" (But ONLY if we do it before creating the invoice), However the PO only includes the Product/Service item, Description, Quantity, Class, but does not include Cost, nor Customer/Project.
    • This introduces extra work and chance for data entry error when re-entering the Cost and Customer/Project on the PO.
    • We can convert a PO to a bill, but this is an extra step as we do not 'really' use POs (just as a step to get to a vendor bill).

  1.  Can we convert a project cost estimate directly to a bill if we disable POs? and will it include all of the appropriate fields from the project cost estimate?
  2. Is there a better way to accomplish a corresponding/related Customer Invoice/Vendor Bill in QBO?
