QuickBooks Desktop Pro Barcode entry for sales items

We are the Art League of Fort Bend and we operate a cooperative art gallery.  As such we have 1000-2000 individual items for sale at any given time.

We use QuickBooks Desktop Pro as our sales station.  QBP ‘lives’ in the Sales Receipt screen.  For each item sale,  the clerk has to enter a generic item code (from a pulldown), Class (we use the class to indicate the selling artist), the item description with the Artist Name postpended (just in case Class is entered wrong), the quantity (generally 1, but for items like greeting cards it can be multiple) and price.

All of this typing is tedious, slow, error prone and can really be a big bottleneck during a big sales event.

Every item has a label created by the artist containing the item name, descriptor, Artist Name and Price.

We want to modify our label creation process to encode the exact fields needed by the QB sales receipt and print it on the bottom of the label.  Then, if possible have a barcode scanner to scan the barcode to enter each item on the item line of the sales receipt.

Our question for Intuit is can this be done?

QuickBooks Desktop Pro Barcode entry for sales items

It's great having you in the QuickBooks Community, @golden

Using barcode scanning for sales items to streamline the sales process in QuickBooks Desktop (QBDT) Pro isn't possible since this involves utilizing the Advanced Inventory feature exclusive to QBDT Enterprise.

With the Advanced Inventory feature in QBDT Enterprise, you can create custom fields for item name, descriptor, artist name, and price for every item. After that, you can export these custom fields to Excel to create a unique barcode. Then, you can import them back for barcode scanning to encode the exact fields in every sales receipt.

If you decide to upgrade or try the Enterprise version and see if the version suits your needs, let me add these articles as guides:

Let me know if you have further concerns about managing inventory or questions about the barcode scanning feature in QBDT Enterprise. We're always here to assist. Take care.

@golden

You can use QB Desktop Pro + a 3rd party inventory management app with barcoding feature and use your mobile phone as the scanner. You don't need to use QB Desktop Enterprise Platinum. That would be overkill
