Append line items to an invoice automatically from external source

Every month we send out a recurring invoice with two primary sections:

  • Top half - fixed costs
  • Bottom half - itemized software license costs for the month

 

We receive a very thorough CSV spreadsheet from our wholesaler which we trim down and input by copy/paste for each recurring invoice. We don't want to create a new invoice for the software licenses each month. We just want to append the license costs from the CSV automatically.


Is there any such facility to do this in QBO? Am I barking up the wrong tree and should consider this differently?

I'll share information about creating recurring invoices in QuickBooks Online, @Quality Biscuit.

 

Since you can copy and paste some transactions, you can also copy and paste the details of the license. If you have added the license as a service or non-inventory, you can it to the invoice with the fixed cost.

Then for the invoice, you can still create recurring invoices with the non-inventory items.

 

Here's how:

 

  1. Go to Settings ⚙.
  2. In the Lists column, select Recurring transactions.
  3. Click New.
  4. Select the type of transaction to create, and then select OK.
  5. Enter a Template name.
  6. Choose a Type: Scheduled, Reminder, or Unscheduled.
