How can I hide an expense with QBO's new invoices?

With the old invoices we could (and always would) add suggested transactions to an invoice so we knew what to charge a customer. We would then make a new line item on the invoice to better describe to the customer what we were charging for. And then we would hide the expense — while keeping it associated with the invoice. It was a great system for us.

With new invoices this appears to be impossible (confirmed by Intuit support). Now you can only delete and unlink the expense. This puts it back into "suggested transactions" where it will remain. The list of suggested transactions will then grow and grow over time.. getting very confusing. 

Any ideas?

This isn't the kind of experience we want you to have with the new invoice layout, @bkassar.

 

When you mention suggested expense transactions, are you referring to billable expenses? If so, deleting or removing them from the line item will cause them to reappear in the Suggested transactions section.

 

In the old invoice interface, you had the option to select Remove line, which would clear the billable expense from the line item while still linking it to the invoice.

 

This option is unavailable with the new invoice layout. Therefore, I recommend sending feedback to our developers. They can review your suggestions for possible incorporation in future updates. Here's how:

 

1. Select Settings and click Feedback.

2. Enter your comments or product suggestions, then select Next to submit feedback.

 

In the meantime, you can filter the list of suggested transactions to hide the billable expenses. Simply click the Filter drop-down list in the Suggested transactions section, choose the transaction type and date, and click Apply filter.

 

Additionally, you can utilize various sales reports in QuickBooks to gain valuable insights into your purchasing and selling activities, as well as the status of your inventory.

How can I hide an expense with QBO's new invoices?

Let me paint a common scenario for us.
 
Each month we prep about 20-25 invoices. Some are basically the same as the prior month’ and we know exactly what to bill. No problem.
 
However most invoices are trickier. We need to gather info on what to charge. Prior to invoice time we do prep work in various places to make this smooth. In bill.com we split all our contractor invoices (to us) across our relevant clients. We will assign each item to the correct customer of ours and mark it as billable. We do the same thing in the QB bank / credit card feeds and assign charges to a customer and mark them as billable. 

In the old invoicing method in QB these transactions would show up in the right side bar (on desktop browser version) and we could add them to the invoice. Once in the invoice they would contain too much / too confusing info to be just passed on to the customer unedited.  But they contain crucial info for us to help us build the invoice. Maybe there were three contractors each working on the same thing. Too messy. So we would make a new line manually and consolidate those three lines into the new one and describe it and price it as we want. We could then delete the three lines. And we WERE given the choice to delete and unlink OR keep and hide. We would always keep them and hide them. This way they were cleaned out of the system and would not show up as suggested transactions next month when we are trying to figure out what to bill again. Also it
 
With new invoicing (and btw i like the new UI) the suggested transactions are still there in the right sidebar. That’s great. But our workflow falls apart when we want to do what I described above. We now have no choice but to delete and unlink the suggested transaction lines once we create the invoice to read as we want it to read. 

This is going to make next month very messy as the suggested transactions will be doubled. The next month there will three times as many. And so on. Filtering them by date is a possible workaround but it’s not full proof and we will be forever looking at old invoices to see if we had billed for something or not.
I did leave this feedback. Perhaps not in this level of detail. I will do that.
