Receipt Management for Invoices and Downloading

Situation 1:

I often need to attached captured receipts to invoices for reimbursement of expenses from a client.

Currently, I use snap receipts on the mobile app to get the receipt into QBO. I can easily link it for the expense side of things, so that I have the receipt tied to the expense on my credit card. However, when I go to build the monthly invoice, I need to attached the receipt again so the client has proof of my incurred charge. How can I do this efficiently to avoid searching for the document/expense, downloading, and then reattaching?

 

Situation 2:

Similar to above, some clients want the receipts sent separately. How can a bulk download receipts or group then for easier tracking to send over without combing through all of my receipts/expenses?

Receipt Management for Invoices and Downloading

We're glad to have you here in the Community, Lance. I'll provide details about re-attaching receipts to invoices. 

 

In QuickBooks Online (QBO), you can attach snap receipts to invoices without re-downloading them to save time. I'll guide you through the process with the steps below:

 

  1. Go to the Gear icon.
  2. Under Lists, select Attachments.
  3. Choose the receipt you want to attach to an invoice.
  4. Click the dropdown arrow beside the Download option.
  5. Select Create invoice
  6. Fill out the necessary information.
  7. Hit Save or Review and send.

 

Moreover, you can also bulk-download captured receipts and send them individually to your clients via their business email. Here's how:

 

  1. Click the Gear icon.
  2. Navigate to Lists, select Attachments.
  3. Tick the checkboxes for the receipts you want to export.
  4. Select the Batch actions dropdown. 
  5. Hit Export.

 

Once done, open the ZIP file downloaded to your computer to get a folder with all your selected receipts.
