Scan Manager discontinuation

I am currently using NAPS2.  it can be found at www.naps2.com

it is compatible with WIA and TWAIN scanners.

it will save to PDF, TIFF, JPEG, PNG and other file types.

I use the PROFILE settings to enable auto save to a folder with a default file name that includes year, month, day and scan number.  I save it to a folder in the QBDocs\attach\ and a specific sub folder. I sort the folder by date descending.

The profile can be associated with an Fn key on the keyboard and be set up clear the iamges from NAPS2 after saving.

I am a contractor and use this heavily in CHECK ENTRY and BILL ENTRY.

After scanning (or while it is scanning) the document I click on the ATTACH FILE button in my QB app (like WRITE CHECKS) and then COMPUTER as the source.  This appears to always to default to the last folder used (in my case I use a folder named MISC RECEIPTS).  I the select the top item in the folder (the one i just scanned) and complete the attachment process.

This is not horribly different from the now deleted feature we lost.  It really uses a similar auto file naming process but does lack the searchable fields (which I have never used in actual practice)

With a little pre-planning you can set this up by user in the folder structure (are you using data files on each user computer or a central data structure?) and define multiple NAPS2 scan profiles for different QB tasks (I use write checks, bill entry, add instructions and installation documents to customer jobs to name a few).

I used to be in Manufacturing and System Software Sales and started doing this 25 years ago.

I will have to check out Naps2.  I currently use NitroPro and it basically works the same way.

The fact that any of us have to use a separate scanning software outside of Quickbooks is ridiculous. Especially since the pricing increased again this year - with reduced features!

Every once in awhile I come across someone with a great idea and you are that guy!  Thanks for taking the time to provide the really useful suggestion!  You didn't mention that NAPS2 was open source (i.e. free) which is also nice.  Anyhow, I'm going to use it for other needs since I've now moved away from QB.  Others that are missing Scan Manager should take note of this suggestion!

I have used Nitro Pro for years and had to start using it to scan documents to attach within QB.

https://www.gonitro.com/  It is easy to do but is definitely a bit more time-consuming than what, apparently, we all liked in scanning directly through QB .

This answer is a joke, it's going backwards. I have high speed scanner I have used for years to attach documents. The mobile option is a waste of time. Easier to just scan documents and save them, then attach them, but this is triple the work now.

Id love to know what you found!  I am currently looking at outsourcing my payroll so we have more options.  Seems like outsourcing may be similar in price to what QB is charging for me to do it myself.

Sadly this is still not an integrated function, and adds steps. The objective is to scan as you enter the transactions and store and name that at that moment. The presented solution is the same as my using the software included with the scanner, and then adding them to the Doc Center, then having to search them out...only using a software to name it by date. There is NO tie in to the transaction as scanned--only an integrated function would do this. I vote no.

There is a company that has software that does post directly into QB. Go to Personable.com/sourcelink/ and look at sourcelink standard, they also have a sourcelink management as well with additional features. It either has a demo you can watch or you can set one up with the company.  The only downside I see is that if you have multiple companies in QB, when scanning you have to close out of one company to be able to  scan to the company you are working in.

Thanks, I might take a look. I already created a work around with my high speed scanner and it's working. Only 2 extra clicks. Hard to believe 100's of users complaining for 2 years now.  QB out of touch or need to phone home.

Lydia - It seems rude to say that you are voting NO.  These other users are trying to help eachother find a solution because Intuit made their software something less than what it used to be, at least in this important regard.  How about just thanking them for their suggestion and do what works best for you.

I like to think I'm more frustrated about this than anyone else  ha ha.

I've used Sourcelink's software before, it works well if you want an integrated right into QB option. I will return to it when QB stops supporting QB Enterprise 21 (next year).

Unless we all band together and storm the doors of Intuit's software engineers and decision makers, it's not coming back, and its easier to accept this and start helping each other with a workaround. Source link is good...also another option is to  just make one folder for scanning, scan into it, and slide your documents over into QB. Forget about the taking photos option.

If you understand that Nuance who was the software behind QB Scan Manager, sold their software, and that's why its no longer in QB, it helps wrap our brains around why QB would do this to us. Doing it without a word of warning, IMO was disloyalty - but then this is America and there's other software out there for me to choose from. And don't shoot me, but Loan Manager is taken away too

Just scan your docs into a folder under your company Data, then drag doc into the document window in QB's 

it will always then be attached to the transaction.  Just use default name coming out of the scanner, hopefully you can use a dating sequence in your scanner software. I think it is no more than 2 extra clicks at most.

Thank you for your effort for all of us.

One thing, that is necessary for me, is naming the document so t is easy to find if you cannot be in the software for some reason.

I have numerous people, and I try to spread out the versions I put them in, as much as possible, since only (2) can be opened in each version. 

The situation may be I will need to quickly locate a document for a company I cannot easily open, witout closing someone else.  (Another point of pain, especially avoiding 2022+ without the scanner, and 2023 with the subscription)

This is why I name them with the company/invoice #/and at least the month.

Just a thought, that may apply to no one. Thank you for your help:)

@Unicomp - check out the Enterprise version. You can have more than 2 people in the file at the same time.

I have them all, but I do not want to stick clients in Enterprise, in case they want to take over their own books.

I put mine in there, and will have to stop at 2022, and use different merchant services.

Not all small business can afford Enterprise, and Online Advanced.  As a matter of fact, when the subscriptions start, I know I am losing some, just like the payroll online.  Most of my people won't go.

I can keep some in old version if they do not have payroll, or payments.  I have (2) more years to deal with that.

I login to a lot remotely, through various services, giving me the same off-site access without the pain.

Anyway, thank you though. I always appreciate people trying to help.

There is a reason they didn't let anyone know about the scan manager being discontinued...we wouldn't

have upgraded! They knew it and that meant money out of their pockets. They have no intention of

bringing it back or anything new to replaced it. As is typical, their support and customer service sucks.

As I continue doing my job and as REQUIRED by Quickbooks, I use the work around to scan and save documents.  What I do find is that I get more and more discouraged doing all the extra steps just to save required documents and how I become more and more dissatisfied with Quickbooks.  It takes so much longer.  I am just baffled at how much this company does not care AT ALL about all of its upset customers.  Every single transaction I do in Quickbooks requires the backup documents to be attached.  Honestly, this company has made my job much more difficult.  The only way this company can redeem itself is to figure out the scanning issue.  Without that, they will not be given a compliment and it will be a cold day in hell before I give another small business a Quickbooks referral.  I will however, tell anyone who ask about Quickbooks, to look for a different software program because Quickbooks feels entitled to remove critical aspects of their programs without notifying its customers.  Not to mention, the fee's remain the same even though we get less. 

I was told once that every customer complaint is a good opportunity to change the situation for the better.  However, it is the silent ones that can ruin a business.  

 

There is eleven pages of complaints.  Can you imagine how many silent customers that are equally upset with discontinuing Scan Manager.

I am mildly terrified there will be a move by many of these companies, NO proof QuickBooks is one of them, to eventually remove the need for us altogether.

I am wondering if the introduction of an AI interface, or document conversion service is in the immediate future plan, and this mobilization of data, accessible to the cloud, is not a necessary preparatory step.

I see that some QBO options are now only available to use with Microsoft 365 online, that is again, unfortunate for those of us that like control of our data.

The way this is laying out is brilliant for them, in a way that is not helpful to us, but we are collateral damage in this fictitious scenario.

The business/software owners, that would profit from such a move, are the real customers.

The first priority is to get everyone out of the programs they cannot control, and dependent on the new platform.

This platform would not be easy to transfer out of, if you do not like the direction the software is headed, or the cost.

I have 2023 Desktop Pro Plus and scan manager is definatley NOT BACK!!

It is very, very, very, frustrating evey single day!
