I had 2022 and was able to scan. I get several freight bills in on a daily basis. I went to scan the invoice into the bill and there is no scan option. They have discontinued the scan option and put in a mobile option. How many people send invoice the mobile phones. NO ONE. This is now going to take me even longer to scan it name it drag it to my desk top then I can up it in quick books. 2023 IS NOT AN UPGRADE BUT A DOWNGRADE. The software is basically useless to me now.

The software is basically useless to me now. When I spoke to them they said they would have IT look into why it was discontinued. Unfortunately they won't so I told him they need to be looking at the Intuit comments and see what a mistake they have made.
It is absurd for Intuit to expect people to use their personal cell phones to take pictures of hundreds of pages in order to upload to a company file.
I was forced to upgrade to Enterprise 2023 in order to continue processing payroll and now I can't send invoices without spend extra days scanning in purchase orders and delivery receipts that need to be e-mailed along with the invoice.
Intuit has completely destroyed what was once a good program.
Looking for a new accounting package. I'm tired of this
Same here. I did not upgrade from desktop enterprise 2021. This is the last version that supports the scanner function. If I am forced to upgrad, ill choose another accounting program. You are right about QB destroying a good accounting program. I am I still waiting for an answer from Intuit about why the scanner interface was taken away.
Good Luck!
Unfortunately they won't answer that question. I have asked several times "why would they take off one of the most crucial assets of the program"? They said it was up to the developers and you cannot contact them. I told them the genius developer and whom ever agreed to have the scan manager needs to be FIRED!
Actually it was version 2021 that last had Scan Manager (SM). In version 2022 SM was discontinued without warning (regardless of what Intuit may say). Still no adequate replacement with version 2023. As a result, we have bought replacement software and are currently more than half way through the implementation. We would not have changed from QB Enterprise had Intuit not taken these backward steps. I would suggest checking out Microsoft's Dynamics.
can Microsoft Dynamics scan documents to pdf - Google Search
Hi Carol,
I was feeling exactly how you are feeling today. I was so upset with QB. However, they will not change their mind. Scan manager is gone forever. This company has gotten so big that they do not care how removing scan manager has affected us little people. There simply is not enough customers complaining about the elimination of scan manager. You'll have to use a work around method. It is a pain in the xxx but its the only option you have until you find a new accounting program.
There is a program that will work pretty much the same as Scan Manager - I used it before QB integrated it into their software. It's called Scan Writer and it's by Personable Software, google it.
The only drawback is that it's not free
The other work around is to scan all your documents into a folder on the computer and drag and drop them in the QB transaction.
I am truly disappointed [MAD]. Why would QuckBooks remove this feature forcing users to do 3 steps rather than one! Software is supposed to make our jobs easier and better. I guess efficiency be damned!
Seriously Stupid! Bring scan manager back!
I despise that they removed the scan feature! WHY would they do that? Now we have to take a picture and download to documents, etc, etc, blah blah blah. I have to save whatever in my own pdf document program to my computer and attach items that way. I'm not going to take pics with a phone. It takes too many steps and for what we pay for QB, this feature should never have been removed.
WAY too many steps!! The scan feature should never have been removed.
It is not back in 2023. We had to upgrade to 2023 to continue using payroll. What a disaster. We are using Enterprise Desktop.
Any viable alternatives out there? We were forced to move to 2023 to continue using payroll. 20+ year user of QB and this really is the final straw
you cant use a prior version if you need to use payroll or email invoices!!!! Very bad decision by QB
It is not in 2023
I am extremely bothered with the discontinuation of the scanning feature. I scan everything to be paperless. I have had to stay on an old version to continue the ease that this gave me. Now QuickBooks is discontinuing the version that I am on. I can go to Enterprise 21.0, but I am sure they will discontinue it too. The options suggested are time consuming and labor intensive. Why the step into the past?
Why would you remove such an important feature? This is Accounting and a paper trail is important. Not everyone does their accounting on their phone or tablet. This really needs to be remedied.
NOOOOO!!!! CRY CRY CRY!! Bring back scan manager!! I work in an office not off my cell phone! Add the cell phone app for those that want to use it but DONT REMOVE SCAN MANAGER!!! Having to scan outside quickbooks and then reimport back in is a HUGE waste of time and extra steps scanning, adding and deleting scanned file.
PLEASE BRING BACK SCAN MANAGER!!!!!
Can we please get this feature back!! Your app is worthless and the email to qb function works less than 10% of the time. The workflow has become a major time suck. Did the developers even talk to an end user? We are going to move from quickbooks if something doe not change. What use to take 5 seconds is now a much longer process. The app only lets you have a one page document!!! Seriously have you ever asked how many acccounting documents are one page?????? Please do better or I'm sure Microsoft or SAP will.
All resources seem to be going online now.
This is sure leaving a hole for the desktop loyalists.
2021 is the last year the scanner is in so one more year and the feature is gone, if you have payroll, or credit cards,
I have people heavily dependent on this feature, but apparently, there are not enough of us complaining.
Very sad
This is exactly what I have had to start doing - but it was MUCH EASIER to do it directly through QB. Them removing the scan manager feature yet increasing their darn prices is infuriating.
I promised that if Intuit did not return Scan Manager to Enterprise I would change accounting systems and I now have moved to another software. The one great feature of QB which has been lost was the ability to scan documents directly to the QB record. You can still attach documents but only after you take the extra time-consuming steps to scan and rename the documents using other software and then manually attach the file to the QB record. Very time consuming. The built-in scanning feature provided efficiency which they inexplicably removed without warning with the 2022 version. Really I don't understand Intuit for having done this to their product.
I'd love to know which program you found.
I've looked as a few, but I'm also stuck because of the payroll features. I really don't want a separate program for payroll.
I would like to know which software you are now using as well.
I am using NAPS2. it can be found at www.naps2.com
it is compatible with WIA and TWAIN scanners.
it will save to PDF, TIFF, JPEG, PNG and other file types.
I use the PROFILE settings to enable auto save to a folder with a default file name that includes year, month, day and scan number. I save it to a folder in the QBDocs\attach\ and a specific sub folder. I sort the folder by date descending.
The profile can be associated with an Fn key on the keyboard and be set up clear the iamges from NAPS2 after saving.
I am a contractor and use this heavily in CHECK ENTRY and BILL ENTRY.
After scanning (or while it is scanning) the document I click on the ATTACH FILE button in my QB app (like WRITE CHECKS) and then COMPUTER as the source. This appears to always to default to the last folder used (in my case I use a folder named MISC RECEIPTS). I the select the top item in the folder (the one i just scanned) and complete the attachment process.
This is not horribly different from the now deleted feature we lost. It really uses a similar auto file naming process but does lack the searchable fields (which I have never used in actual practice)
With a little pre-planning you can set this up by user in the folder structure (are you using data files on each user computer or a central data structure?) and define multiple NAPS2 scan profiles for different QB tasks (I use write checks, bill entry, add instructions and installation documents to customer jobs to name a few).
I used to be in Manufacturing and System Software Sales and started doing this 25 years ago.
Hopefully this helps.
