I understand how frustrating this can be, but don’t worry—let’s get this sorted. That message usually pops up when QuickBooks Payroll is unable to connect with HMRC to fetch tax code updates. This can happen for a few reasons:
Your PAYE isn’t registered with HMRC – If you’ve just set up payroll, double-check that you’ve actually registered for PAYE with HMRC and received your PAYE reference number. If not, you’ll need to do that first.
Your HMRC credentials aren’t entered correctly in QuickBooks – Go to Payroll Settings > HMRC Settings and ensure your Government Gateway ID and password are correct. If there’s a typo or outdated info, QuickBooks won’t be able to communicate with HMRC.
Your Government Gateway account doesn’t have the right permissions – Log in to your HMRC online account and make sure you have the correct authority to access PAYE services. If needed, you can update your permissions or reauthorize QuickBooks.
There’s a temporary issue with HMRC’s system – Sometimes, HMRC services go down for maintenance. You can check their service status here.
If you've checked all of the above and are still having trouble, try disconnecting and reconnecting HMRC in QuickBooks:
Go to Payroll Settings > HMRC Settings
Remove your credentials and save changes
Re-enter your credentials and save again
